Job Description

️ Key Responsibilities
1. Executive & Administrative Support

  • Manage the CEO’s schedule, emails, and correspondence with high professionalism.
  • Organize and coordinate meetings, appointments, travel arrangements, and events.
  • Prepare presentations, reports, and briefing materials for internal and external meetings.
  • Ensure confidentiality and discretion in handling sensitive business matters.

2. Business & Project Coordination

  • Assist in setting up a healthcare center
  • Conduct market research and prepare reports on industry trends, competitors, and potential partnerships.
  • Oversee project workflows and follow up on deadlines to keep initiatives on track.

3. AI & Technology Utilization

  • Leverage AI-powered tools (e.g., ChatGPT, Notion AI, Microsoft Copilot) to improve efficiency in communication, research, and task management.
  • Assist in setting up automation for scheduling, email filtering, and document management.
  • Use AI for data analysis, summarizing reports, and drafting business insights.
  • Stay updated on AI advancements and recommend useful tools for optimizing business processes.

4. Communication & Liaison

  • Act as the primary point of contact between the CEO and internal teams, business partners, and investors.
  • Liaise with strategic partners to support business growth.
  • Take detailed meeting minutes, track follow-up actions, and ensure timely execution.
  • Handle correspondence with stakeholders in both English and Vietnamese.

Job Requirement

  • ️ Bachelor’s degree in Business Administration, Healthcare Management, Technology, or a related field.
  • ️ At least 3+ years of experience as an Executive Assistant, Personal Assistant, or Project Coordinator in an international work environment.
  •  Experience in real estate, healthcare, or membership-based businesses is a plus
  • AI Proficiency – Familiarity with AI tools like ChatGPT, Notion AI, Microsoft Copilot, and automation software.
  • Tech-Savvy – Comfortable working with Google Workspace, Microsoft Office, CRM tools, and project management software.
  • Excellent Communication – Strong verbal and written skills in both English & Vietnamese.
  • Strong Organizational Skills – Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Business Acumen – Understanding of corporate operations, business strategy, and project execution.
  • Problem-Solving Mindset – Proactive, detail-oriented, and capable of handling challenges independently.
