MISSION:
HR Operations Specialist plays a role in ensuring the smooth and efficient functioning of daily HR processes and operations in the group of stores (5+ stores). This role supports the employee lifecycle, ensures compliance with labor laws and company policies.
RESPONSIBILITIES:
Process Management and Efficiency:
- Managing and updating employee records in the HRIS (CNEXT & SAP). This includes data entry, data accuracy, troubleshooting, and leveraging the system to ensure timely and accurate processing of employee data (onboarding, transfers, promotions, terminations)
- Identifying inefficiencies in current HR workflows and implementing improvements to make them more efficient, accurate, and user-friendly.
- Communicating policy updates to employees and managers in time related to their benefits (PIT, SHUI, Health Insuarnce,…)
Employee Lifecycle Support:
- Coordinating with Store Manager for new hire onboarding including tracking employees’ personal documents, setting up system access, and CNEXT training.
- Coordinate with payroll team to ensure accurate and timely salary processing. Support employee benefits enrollment, claims, and inquiries such as leave management (e.g., request creating, changes, terminations, tracking time off…).
- Assisting with performance review processes, documentation, and tracking.
- Managing the offboarding process for departing employees, including exit interviews, final pay, and system access deactivation.
Compliance and Reporting:
- Ensure compliance with labor laws, regulations and company policies as required by governmental authorities to minimize legal risks. Stay up to date with ever-changing legal requirements.
- Preparing and generating regular HR reports and metrics (e.g., on headcount, turnover, cost of HR) to support strategic decision-making and identify areas for improvement.
- Conducting regular audits of HR data and processes to ensure accuracy and compliance.
Supporting HR Projects:
- Supporting various HR projects such as implementing new HR technologies, developing training programs, or improving employee engagement.
- Collaborating with other HR teams (e.g., Talent Acquisition, Training, Internal Communication, HRSS, HRIS…) and other cross-functional teams (Finance, Legal, IT…) to support the business goals.
