Accounting Officer (E-Commerce)

Horizon Venture Vietnam brings quality sleep and mattress products to Vietnamese customers through TikTok Shop, Shopee, Meta and a growing network of distributors. We move fast, sell across many channels, and need our numbers to be just as sharp as our growth.

The role

You will own the order-to-cash cycle and support purchasing. Your main job is to make sure every order shipped is correctly invoiced and fully paid, and that every mismatch is found, explained and cleared. You will work closely with our warehouse, our 3PL partners and our external accounting firm.

Key responsibilities

1. Orders & reconciliation (monthly cycle)

• Reconcile platform order exports (TikTok, Shopee, Meta) against warehouse shipped orders and cash received, using a three-way match: order → invoice → payment.

• Investigate and clear mismatches, including orders cancelled after shipping, returns, unremitted COD, and collection gaps with 3PLs (GHN, J&T, BEST, SPX).

• Prepare the monthly close pack for our accounting firm, answer their queries, and sign off the AR balance.

• Ensure stock accuracy between warehouse and accounting firm, ensuring that all requested information is available to the audit team.

2.Invoicing (MISA)

• Issue VAT e-invoices in MISA for all sales, matched to the correct order and product code.

• Issue credit notes and adjustment invoices for returns, cancellations, price corrections and platform-funded discounts, each with a documented reason and approval.

• Keep MISA customer and product master data clean so invoices reconcile automatically instead of by hand.

3.Receivables & payments

• Maintain the AR ageing report and follow up overdue balances with platforms, distributors and 3PLs holding COD.

• Record and allocate incoming payments to invoices, and escalate anything unreconciled beyond [X] days.

4.Purchasing & AP support

• Raise and track purchase orders with our supplier Kuka and local vendors, and match supplier invoice → goods received → payment.

• Check 3PL and platform fee invoices against contracted rates.

Requirements

• Bachelor's degree in Accounting, Finance or a related field.

• Over 3 years of experience in accounting, ideally with AR or reconciliation in e-commerce, retail or FMCG.

• Hands-on experience with MISA and Vietnamese e-invoice rules (Decree 123/2020/ND-CP and amendments).

• Strong Excel skills (pivot tables, XLOOKUP/VLOOKUP, working with large order exports).

• Very detail-oriented, and persistent in chasing a number until it balances.

• Fluent Vietnamese; English Business level for reporting and communication with regional management.

Nice to have

• Experience reconciling TikTok Shop / Shopee seller center reports or COD settlements from 3PLs.

• Experience working with an outsourced accounting firm on monthly close.

Working Hours

Monday – Friday: 9.00 am - 6.00 pm

Saturday: Alternating Saturdays (every other Saturday off)

Sunday: Off

Scheduled days off may be rotated to support major campaign periods (e.g., Mega Sale events, Brand Campaign Days, and other key promotional activities).
