Objective
Customer Service Executive dealing with Sales Division is responsible for supporting the Sales Team by coordinating daily sales operations, managing order processing, ensuring smooth communication between internal departments, and maintaining accurate sales documentation.
This role acts as the operational bridge between Sales, Finance, Supply Chain Management to ensure orders are processed efficiently, customers receive excellent service, and sales representatives can focus on business development instead of administrative work.
Key responsibilities and tasks
1. Sales Administration
· Prepare quotations and monitor quotation status.
· Prepare Sales Contracts, Payment Requests, Sales Orders (SAP), and other commercial documents based on information provided by the Sales team under company regulation & SOP.
· Maintain complete customer files and sales documentation.
· Print, organize, submit documents for approval/signature, and distribute finalized documents to customers.
· Track documents return status and ensure proper filing.
· Monitor the customer outstanding balances and payment status.
2. Order Processing & Delivery Coordination
· Coordinate order processing from Sales Order creation until customer delivery, and solve customer complain if any.
· Work closely with SCM, Production and Finance to ensure timely execution.
· Monitor Delivery Notes, invoices, and all supporting documents.
· Resolve documentation issues and coordinate with relevant departments when discrepancies occur.
3. Inventory & Product Availability
· Monitor inventory levels through SAP.
· Provide Sales Team with stock availability information when requested.
· Assist in branch inventory audits when required.
4. Customer Administration
· Register new customer accounts with Finance.
· Maintain customer master data.
· Coordinate customer sample requests, including document preparation, approval process, delivery arrangement, and confirmation of receipt.
5. Import & Supply Coordination
· Track purchase orders from Internal Supply.
· Monitor shipment status, ETA, customs documents, and delivery schedules.
· Coordinate with SCM to ensure products arrive on time.
Other tasks assigned by Manager.
Educational and Experience Requirements:
· Degree in business administration.
· Minimum 2 years of experience in Sales Administration, Sales Support, Customer Service.
· Experience using ERP systems (SAP is preferred).
· Good command of Microsoft Excel and Microsoft Office.
· Strong organizational and documentation skills.
· Ability to coordinate multiple tasks simultaneously.
· Good communication and interpersonal skills.
· Detail-oriented with strong follow-up ability.
· English communication is preferred.
Approximately one month of paid leave per year.
