Job Description

Position Overview:

The Receptionist is the first point of contact for visitors, customers, agents, and business partners entering the Sales Gallery. This role is responsible for delivering a premium customer experience, managing visitor registration and access control, maintaining the presentation standards of the Sales Gallery, and supporting the sales team with administrative and customer service activities.
Working within a luxury Indochine-inspired Sales Gallery environment, the Receptionist plays a critical role in ensuring all guests receive a professional, warm, and seamless welcome experience aligned with Frasers Property’s brand standards.

Responsibilities:

Visitor Reception & Customer Experience

  • Welcome all visitors, customers, agents, and business partners in a professional manner.
  • Ensure every visitor receives a luxury hospitality experience consistent with the project’s brand image.
  • Provide basic project information and direct visitors to the appropriate Sales Consultant.
  • Offer refreshments and assist guests during their visit to the Sales Gallery.
  • Maintain a professional appearance and positive attitude at all times.

Visitor Registration & Access Control

  • Verify visitor appointments and registration status prior to granting access to the Sales Gallery.
  • Ensure all visitors complete required registration procedures according to company procdure.
  • Manage visitor check-in and check-out processes accurately.
  • Maintain visitor records and daily attendance reports.

Sales Gallery Operations

  • Ensure the reception area, meeting rooms, model display areas, and customer waiting lounges are clean, organized, and presentable.
  • Monitor inventory of hospitality supplies, refreshments, brochures, and marketing materials.
  • Coordinate replenishment requests with relevant departments.
  • Report facility issues and follow up on maintenance requests when necessary.

Administrative Support

  • Answer incoming phone calls and direct inquiries to relevant departments.
  • Handle customer inquiries and provide timely assistance.
  • Maintain visitor databases and customer records within the CRM system.
  • Assist in preparing daily, weekly, and monthly visitor reports.
  • Support document management, processing office expense claims, and filing activities as assigned.

Event & Sales Support

  • Assist in organizing sales launches, VIP previews, customer events, and marketing activities.
  • Coordinate guest registration and attendance tracking during events.
  • Support Sales Consultants in ensuring smooth customer flow during peak periods.
  • Assist with customer follow-up scheduling and appointment coordination.

Others

  • Ensure all assigned tasks are completed accurately and within agreed timelines.
  • Comply with company policies, procedures, and service standards.
  • Perform any other duties assigned by the Sales Gallery Manager, Sales Manager, or Management Team

Job Requirement

Requirements:

  •  Diploma or Bachelor's Degree in Hospitality, Business Administration, Customer Service, Tourism, Communications, or related fields.
  • Experience in luxury residential developments, hotels, resorts, or premium customer-facing roles is highly preferred.
  • Professional appearance and excellent grooming standards.
  • Strong communication and interpersonal skills.
  • Good command of English; additional languages are an advantage.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong customer service mindset with attention to detail.
  • Ability to work weekends, public holidays, and flexible schedules when required for sales events

Working Schedule:

  • Working schedule: 5.5 days per week.
  • Standard working hours shall be determined by the Company and may vary depending on operational requirements.
  • Due to the nature of residential sales operations, the regular weekly schedule may include Saturday and/or Sunday.
  • Employees who are required to work on a Saturday or Sunday will be granted a day off in lieu on a regular weekday, subject to approval and scheduling by the Company.
  • Working schedules may be adjusted from time to time to ensure adequate Sales Gallery coverage and customer service standards.
