Role Summary

IPA-NIMA is seeking a highly organized and detail-oriented Junior Accounting & Operations Coordinator to support the Chief Accountant and management team in the day-to-day financial, tax compliance, statutory reporting and operational activities of the business. This role goes beyond traditional bookkeeping and provides exposure to multiple aspects of a growing fashion brand, including accounting, accounts payables and receivable, inventory reconciliation, supplier payments, banking, tax administration, regulatory compliance, and office operations.

The successful candidate will act as a key link between the company's operations, external service providers, banks, tax authorities, and the Chief Accountant, helping ensure that financial records, compliance obligations, and administrative processes are maintained accurately and efficiently. Training and mentoring will be provided by the Chief Accountant, offering valuable exposure to multiple aspects of accounting and business operations within a growing fashion brand.

Key Responsibilities

1. Financial Accounting & Book-Keeping

  • Record daily accounting transactions accurately and in a timely manner.

  • Assist the Chief Accountant with monthly, quarterly, and annual financial reporting.

  • Maintain accounting records and supporting documentation in accordance with Vietnamese Accounting Standards (VAS).

  • Reconcile bank accounts, cash transactions, and general ledger balances.

  • Prepare financial schedules and reports as requested by management.

2. Accounts Payable & Supplier Management

  • Process supplier invoices and payment requests.

  • Verify supporting documents and ensure compliance with internal procedures.

  • Prepare supplier payment schedules and coordinate payment approvals.

  • Liaise with suppliers regarding invoices, statements, and payment matters.

  • Monitor outstanding supplier balances and resolve discrepancies.

  • Prepare payment schedules and cash flow reports

3. Accounts Receivable & Customer Administration

  • Issue sales invoices and maintain customer billing records.

  • Monitor customer payments and outstanding receivables.

  • Follow up overdue accounts where necessary.

  • Reconcile customer accounts and investigate discrepancies.

  • Reconcile bank accounts and payment transactions

4. Inventory & Stock Reconciliation

  • Assist with inventory tracking and stock reconciliation.

  • Reconcile inventory records between accounting and operational systems.

  • Support stock counts and inventory verification exercises.

  • Investigate inventory variances and prepare supporting reports.

5. VAT & Tax Compliance

  • Prepare and maintain VAT documentation and supporting records.

  • Assist with VAT declarations, tax filings, and statutory submissions.

  • Review electronic VAT invoices input and output  and ensure compliance with Vietnamese regulations.

  • Maintain organized tax files and supporting documentation for Chief Accountant to file for Corporate Income Tax, Personal Income Tax and other statutory filings

  • Monitor tax filing deadlines and compliance requirements.

6. Tax Authority & Regulatory Coordination

  • Assist with correspondence and document submissions to tax authorities and government agencies.

  • Support company registration updates, licensing matters, and tax code (MST) administration, and reactivation procedures when required.

  • Assist in preparing documents and explanations requested by government tax authorities when required.

  • Support the Chief Accountant in liaising with external tax advisors, auditors, and accounting service providers.

  • Assist the Chief Accountant in monitoring changes in Vietnamese tax and accounting regulations and advise the Chief Accountant accordingly.

7. Banking & Cash Management

  • Assist with banking transactions, transfers, and account administration.

  • Prepare banking documentation and payment instructions.

  • Maintain records relating to loans, guarantees, and banking facilities where applicable.

  • Support cash flow monitoring and payment planning.

8. Audit & Compliance Support

  • Assist the Chief Accountant to prepare documents for potential tax inspections, tax audits, and statutory audits.

  • Prepare supporting schedules, reconciliations, and documentation requested by auditors.

  • Ensure accounting records are maintained in an organized and audit-ready manner for auditors and tax authorities.

  • Support implementation of internal controls and compliance procedures.

9. Operations & Office Administration

  • Support general office administration and operational coordination.

  • Maintain company records, contracts, licenses, and compliance documents.

  • Coordinate with service providers, landlords, banks, and government agencies when required.

  • Assist management with special projects and administrative initiatives.

Job Requirement

Ideal Candidate

  • Bachelor’s degree in Accounting, Finance, Auditing, Business Administration, or a related field.

  • 1–3 years' experience in accounting, finance, administration, or operations support.

  • Understanding of Vietnamese accounting, VAT, and tax regulations.

  • Experience using accounting software such as MISA, KiotViet, LinkQ, Bravo, or equivalent.

  • Experiences with VAT declarations and E Invoices, and a good understanding of VAS standards, VAT regulations, PIT, CIT, and electronic invoicing requirements

  • Strong Microsoft Excel skills.

  • Experience assisting with tax audits or tax inspections is a plus

  • Tax Agent Certificate or progress towards professional accounting qualifications is a plus.

  • Good English communication skills, both written and verbal.

  • Highly organized with excellent attention to detail.

  • Proactive, responsible, solution-oriented and comfortable working in a small entrepreneurial team.
