Job Description

2.1 Office Administration

  • Manage office supplies, including demand planning, purchasing, inventory control, and cost optimization.
  • Oversee office assets and facilities, including furniture, printers, electrical appliances, and other office equipment.
  • Manage pantry operations, including consumable items such as coffee, milk, snacks, beverages, fruit, birthday cakes, and other refreshments; monitor inventory levels and ensure timely replenishment.
  • Coordinate transportation arrangements, meeting room bookings, and visitor reception when required.
  • Track vendor invoices, monitor outstanding payments, and process payment requests for administrative procurement activities.

2.2 Documentation & Administrative Support

  • Prepare administrative documents, internal announcements, and standard templates.
  • Maintain and organize administrative records, service agreements, and related documentation to ensure proper filing and accessibility.

2.3 Employee Engagement & Internal Events

  • Support the organization of monthly birthday celebrations, Happy Hour activities, and other employee engagement programs.
  • Coordinate logistics and administrative arrangements for meetings, training sessions, and internal events.

2.4 Other Responsibilities

  • Provide administrative support to the Board of Directors and other departments as assigned.
  • Perform other ad hoc administrative duties to support business operations.

Job Requirement

3.1 Education

  • Bachelor's degree or College diploma in Business Administration, Office Administration, Management, Economics, or a related field.

3.2 Experience

  • At least 5 years of experience in an Administrative or Office Administration role.
  • Experience in managing office supplies, pantry operations, administrative procurement, vendor coordination, and payment documentation is preferred.

3.3 Skills & Competencies

  • Strong communication and interpersonal skills.
  • Well-organized, detail-oriented, and proactive.
  • Good time management and multitasking abilities.
  • Proficient in Microsoft Office applications, especially Word and Excel.
  • High level of integrity, responsibility, and accountability.
  • Ability to work independently as well as collaboratively in a fast-paced environment.
