Support the Import–Export Manager in coordinating all export–import activities for garment orders—from inbound materials through production to outbound shipments—ensuring on-time delivery, regulatory compliance, cost control, and data integrity across the supply chain.
1. Import–Export Operations Support
Follow up production schedules, material readiness, and shipment timelines.
Work with shipping lines/forwarders for booking, container arrangement, and issue resolution.
Prepare and verify export documentation: Invoice, Packing List, Bill of Lading, C/O, customs declaration, etc.
Monitor customs clearance status, customs inspection requirements, and coordinate with relevant departments.
2. Garment Manufacturing – Export Production (SXXK) Coordination
Track material in/out/stock movement under E21/E31/E62 and other relevant customs regimes.
Assist in preparing consumption norms, material usage reports, and reconciliation for customs settlement.
Coordinate with Production Planning, Merchandising, Purchasing and Warehouse to ensure accurate and on-time working flow.
Coordinate with Accounting and Warehouse to control and cross-check material stocks
Supporting Inbound and Outbound teams for daily works and issue resolutions
Draft professional business emails and negotiate on shipment changes, issues, or claims.
3. Imported Raw Materials & Trims Handling (from Overseas Suppliers)
Coordinate with overseas suppliers to follow up and support for hanlding imp shipments.
Monitor production lead time, shipment plan, and on-time delivery of imported fabric & trims.
Work with forwarders to arrange booking, shipment tracking, customs documentation, and ensure timely arrival of materials.
Prepare and manage import documentation required for customs clearance.
Coordinate with the Warehouse team for material receiving, inspection, discrepancy reports, and ensure accurate GRN.
Follow up with the supplier on any issues related to short shipment, damaged goods, wrong items, quality mismatches, and propose corrective action (replacement / credit note / urgent reshipment).
Ensure compliance with customs regulations and company standards for imported materials under diferent customs types
4. Finished Goods Handling & Export Customs Clearance
Prepare and review the complete set of export doc.
Coordinate with forwarders to finalize SI, VGM, cut‑off time, container pick-up, and loading schedules.
Monitor container loading at factory/WH, ensuring the correct container/seal no., and loading plan (stuffing list) are followed.
Handle VNACCS/VCIS customs declaration,ensuring compliance with export regulations.
Handle cargo-related issues such as short shipment, mis‑stuffing, incorrect documentation, port congestion delays, or booking amendments and ensure timely corrective actions.
5. Reporting & Administrative Support
Prepare weekly/monthly reports: booking status, logistics costs, customs clearance, material stock.
Support process improvement and standardization within the Import–Export Department.
Assist in digitalization/ERP/PLM implementation projects when required.
1. Education
College/University degree in International Business, Import–Export, Logistics, Foreign Trade, or related fields.
2. Work Experience
Minimum 3–5 years of experience in Import–Export or Logistics.
Preference for candidates with experience in garment manufacturing, SXXK/export production, or CM/CMPT.
3. Technical Skills
Strong understanding of Incoterms 2020, customs regulations, HS codes, and preferential C/O procedures.
Proficient in export–import documentation and booking procedures.
4. Soft Skills
Good communication, especially in English (reading & writing business emails).
Detail-oriented, proactive, and able to work under pressure.
Good Excel skills (vlookup, pivot); knowledge of Power BI/ERP is a plus.
