Job Description

  1. Executive Support
  • Provide comprehensive administrative support to the Executive Chairman, including managing schedules, appointments, meetings, and travel arrangements.
  • Prepare reports, presentations, and briefing materials for internal and external meetings.
  • Handle confidential documents and sensitive information with a high level of discretion.
  • The Assistant to Executive Chairman serves as a direct support partner to the Chairman in managing, coordinating, and executing executive activities. This role acts as the communication bridge between the Chairman and internal teams as well as external partners.
  • The Chairman Assistant represents the Chairman when delegated and ensures smooth operations and timely execution across Vietnam and the SEA.
  1. Strategic Coordination
  • Assist the Executive Chairman in monitoring business operations and key strategic projects across departments.
  • Coordinate communication between the Executive Chairman and HOD.
  • Follow up on action items and ensure timely execution of strategic initiatives.
  1. Meeting & Communication Management
  • Organize and attend executive meetings, record meeting minutes, and track progress of assigned tasks.
  • Act as a liaison between the Chairman and internal departments, partners, and external stakeholders.
  • Draft official correspondence, announcements, and internal communications.
  1. Business Operations Support
  • Support the Executive Chairman in reviewing operational reports, financial summaries, and production updates.
  • Assist in planning corporate strategies, business expansion, and investment opportunities.
  • Coordinate cross-functional projects within the manufacturing operations.
  1. Project & Task Management
  • Monitor the progress of key projects and ensure deadlines are met.
  • Conduct research, gather data, and prepare analysis to support executive decisions.
  • Manage special assignments and ad-hoc projects as required by the Chairman.

Job Requirement

Experience

  • Minimum 8 years of experience as an executive assistant, management assistant or COO in manufacturing, FMCG, Retail Companies, etc.
  • Experience working in a medium to large organization (500+ employees) is preferred.

Skills & Competencies

  • Excellent organizational, multitasking, and time-management skills.
  • Strong analytical and problem-solving abilities.
  • Outstanding verbal and written communication skills in English (and Vietnamese, if applicable).
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and modern collaboration tools.
  • High level of professionalism, integrity, and confidentiality.
  • Ability to work independently under pressure and manage competing priorities.
