JOB PURPOSES:
Be responsible for providing full support in term of back office related tasks including data analysis & reports.
PRINCIPAL ACCOUNTABILITIES:
Process Excellence:
- Understand services & products and be able to interact with front office related to client support or sales leads.
- Manage, utilize and enhance efficiency of CRM Database.
Documentation Management:
- Manage all service agreements, proposals, documents and regular reports.
- Maintain relationships and execute operational management with related vendors (Vietnamworks, LinkedIn…).
- Be proactive and solve operational problems for improved efficiency.
- Be an active chairperson of Finance committee: preparing monthly/quarterly and yearly reports on consultant activities, efficiency, and revenue forecast and revenue achieved etc.
- Be an active member of Process & System committee: upgrading Process & Systems, guidelines and forms of ESS department.
- Support the ESS department’s other committees: Business Development& Marketing, People committees with execution and ad-hoc operational support
Database reports & Analyze:
- Master in using ESS Database to conduct training Database guidelines, processes and all related aspects for new Consultants.
- Manage Data input team to ensure the quality and quantity of CVs import-export services for Department accurately and properly.
- Ensure the recruitment ads, which are sent from the Front team, provide sufficient and attractive content and are in consistent formats before publishing out to the public.
- Maintain the update status list of the recruitment ads per week / month.
- Manage Database always in updated and fresh status with updated information of client, candidate, vacancy, contact, etc
- Manage well all information in Database (candidate, vacancy, client, etc.) and actively approach consultant’s/ team leaders to have proper action.
- Be the first contact point for Consultants in answering all queries and fixing the problems related to Database when happen and continuously improve the efficiency and convenience of ESS Database.
- Build awareness for ESS Consultants in the areas of giving feedbacks and improvement needs for Department Database.
- Regularly observe, collect feedback and consistently explore possibilities to report to ESS Director for awareness and improvement. Actively suggest solutions for any issues relating to Database for on time fixing or for better improvement.
