Position Overview
The Executive Assistant to the Board of Directors provides high-level administrative, coordination, and strategic support to the Board, ensuring smooth governance operations, effective communication, and confidentiality. This role serves as a trusted partner to the Board and senior leadership, enabling informed decision-making and efficient execution of board-related activities. Key Responsibilities
A. Board & Governance Support
- Organize and coordinate all Board of Directors’ meetings, including Board Meetings, Committee Meetings, and Extraordinary Meetings
- Prepare meeting agendas, board packs, presentations, resolutions, and supporting documents
- Take accurate minutes of meetings, track decisions, and follow up on action items
- Ensure compliance with corporate governance requirements, internal policies, and relevant regulations
- Maintain and manage official Board records, resolutions, and governance documentation
B. Executive & Stakeholder Coordination
- Act as the primary point of contact between Board members, Executive Management, and internal/external stakeholders
- Coordinate communication between Board and senior leadership across functions
- Manage Board members’ schedules, travel arrangements, and logistics
- Support Chairman / Board Members in daily administrative and coordination tasks
C. Strategic & Analytical Support
- Assist in preparing reports, business updates, performance dashboards, and executive summaries for board review
- Conduct basic research, analysis, and benchmarking as requested by the Board
- Support strategic initiatives and special projects assigned by the Board or Chairman
D. Confidentiality & Professional Standards
- Handle highly sensitive and confidential information with absolute integrity and discretion
- Uphold professionalism in all communications, both internally and externally
- Represent the Board Office with credibility, maturity, and business acumen
E. Other Responsibilities
- Support corporate events, investor meetings, or governance-related activities when required
- Perform ad-hoc tasks as assigned by the Board of Directors
