Job Description

The Export Documentation Specialist coordinates and monitors export shipments, ensuring proper documentation for customs clearance and compliance with U.S. export regulations. Key responsibilities include:

  • Document Management: Create, maintain, and audit all export documents, ensuring compliance with regulations and timely provision to customers and freight partners.
  • Supplier Communication: Communicate with international suppliers and third parties to ensure timely receipt of documentation and provide guidance on related inquiries.
  • Credit Analysis: Analyze customer credit requests related to late documentation and provide recommendations for approval or denial.
  • Compliance Assurance: Assist in maintaining export compliance for customers after initial setup.
  • Regulatory Reporting: Accurately report international shipments to the U.S. Census Bureau via the Automated Export System (AES) and update filings as needed.
  • Invoicing and Payments: Update freight invoicing logs and process payments, coordinating with corporate accounts payable.
  • Correspondence Retention: Maintain international correspondence per U.S. Customs requirements.
  • Data Collection: Collect and update information in line with team performance measures.
  • SOP Maintenance: Maintain and recommend updates to Standard Operating Procedures for the documentation team.
  • Process Improvement: Identify areas for improvement and assist in implementing changes.
  • Regulatory Awareness: Stay updated on export regulations and communicate changes to management.

Job Requirement

Qualifications:

  • Bachelor degree in International Business, Business Administration, Import/Export or equivalent experience.
  • Have from 1 year of experience.

  • Basic understanding of export compliance requirements and documentation rules for various countries.
  • Familiarity with export logistics and international transportation.
  • Excellent English communication, interpersonal, and organizational skills.
  • Familiarity with document management systems.
  • Analytical and problem-solving abilities.
  • Proficient in MS Office, especially Excel.
  • Empathetic and professional response to vendor and customer inquiries.
  • Ability to work independently and under pressure.
