Shipment Coordination & Planning
- Coordinate with suppliers and factories to confirm loading plans and issue shipping instructions aligned with contract requirements.
- Develop and manage export schedules, ensuring cargo is planned, sequenced, and executed accurately and on time.
- Arrange bookings with shipping lines and manage space allocation to meet delivery commitments.
Logistics & Third-Party Management
- Liaise with freight forwarders, trucking companies, and insurance providers to ensure smooth cargo movement.
- Coordinate port activities and inland transportation in compliance with export regulations.
- Monitor shipment progress and proactively flag and resolve delays or disruptions.
Documentation & Compliance
- Understand the basic set of documents, including booking confirmation, packing list, certificate of origin, bill of lading, and customs declaration.
- Ensure that the documents are accurate, complete, and submitted on time as required by the client and regulatory authorities.
Customer & Partner Communication
- Serve as the primary operations point of contact for customers regarding shipment status, scheduling, and issue resolution.
- Handle complaints and claims related to shipments promptly and professionally.
- Maintain strong working relationships with shipping lines, forwarders, insurance companies, and overseas partners.
Administrative & Systems
- Track costs, invoices, and operational expenses accurately.
- Maintain organized records for all shipments and update internal systems consistently.
- Work across multiple files and customer accounts simultaneously while maintaining accuracy.
- Bachelor's degree, preferably in Foreign Trade, International Business, Economics, or a related field.
- 1–2 years of hands-on experience in export operations, logistics coordination, or freight forwarding.
- Solid understanding of export processes: contract management, vessel booking, cargo planning, shipping documentation, and factory/forwarder/shipping line coordination workflows.
- Good command of English — reading, writing, speaking, and listening — for day-to-day professional use.
