Job Description

This generalist role covers the full setup and day-to-day running of a new manufacturing facility — spanning admin, local HR, logistics, and acting as the bridge between the Vietnam site & Chinese HQ. Bilingual Chinese/Vietnamese required

I. Overseas Factory Construction Coordination

  1. Fully responsible for the overall coordination and communication of the entire process of the factory construction in Vietnam, including contacting local government departments and cooperation institutions, and promoting the implementation of various on-site construction tasks.
  2. According to the progress of the factory construction, coordinate the administrative and personnel support guarantee work during the construction stage, plan the office system and logistics support plan in advance, and ensure the smooth production and operation of the factory.

II. Daily Administrative Management of the Factory Site

  1. Responsible for the daily operation and maintenance management of the office and logistics environment of the factory site, formulate local office management systems and environmental standards based on the actual situation in Vietnam.
  2. Coordinate the procurement, acceptance, storage, control and allocation of all factory office and logistics materials, connect with local supplier resources, reasonably control procurement costs, and ensure the stable supply of materials.
  3. Responsible for the daily administrative management of the factory site, including implementing regulations, standardizing processes, managing fixed assets, vehicle scheduling, business and daily receptions, and promptly handling various administrative emergencies.

III. Comprehensive Personnel Management of the Factory Site

  1. Responsible for the recruitment of local personnel in Vietnam, connecting with local recruitment channels, conducting resume screening, organizing interviews, onboarding, promotion, job transfer, resignation, etc., and strictly following Vietnamese labor laws and regulations to ensure compliance in employment.
  2. Responsible for the statistics, scheduling and leave management of all factory employees, standardizing the attendance process, organizing, updating and archiving employee personnel files, establishing a complete employee information ledger, and ensuring the authenticity, accuracy and traceability of personnel data.
  3. Responsible for maintaining the daily employee relations, listening to and coordinating to solve employee demands, making cross-cultural communication connections between China and Vietnam, and creating a stable and positive working atmosphere at the factory site.
  4. Implement the personnel management systems and requirements of the headquarters, combine Vietnamese local labor laws and regulations, promote the local implementation and execution of various personnel systems, and optimize them to ensure the legality, compliance and standardized operation of the factory site's personnel management.

IV. Basic Financial Support Work

  1. Assist in implementing basic financial affairs of the factory site, responsible for the initial review of employee expense reimbursement, financial document organization, classification and archiving, and cooperating to complete the daily financial data entry, verification and summary work.
  2. Familiarize and connect with the local financial processes in Vietnam, strictly implement the expense control system, ensure the standardization of documents, compliance of processes, and completeness and orderliness of accounting materials.

V. Internal and External Communication Coordination and System Implementation Management

  1. Coordinate the internal and external communication work of the factory site, connect with various functional departments of the headquarters, local government agencies in Vietnam, cooperation units and all factory staff, to ensure efficient information flow and smooth work connection.
  2. Coordinate and solve cross-cultural communication differences and various collaboration issues, connect the work of headquarters and overseas factory sites, ensure the stability and orderly progress of overall operation.

VI. Other tasks assigned by the leader Job Requirements:

  1. Candidates with majors in administrative management, human resources, etc. are preferred;
  2. Possess strong organizational skills, communication and coordination abilities, as well as problem-solving skills. Work is meticulous and responsible, and the candidate is capable of working permanently in the Vietnam factory;
  3. Familiar with basic financial processes and proficient in using various office software;
  4. Those with experience in Vietnam factories are preferred, and possess fluent Vietnamese communication skills; Vietnamese nationals should be fluent in Chinese and be able to smoothly carry out daily work coordination.

Job Requirement

Those with experience in Vietnamese factories will be given priority.

Proficiency in both Vietnamese and Chinese is required, and there must be no communication barriers.
