1. Talent Acquisition
- Manage the company's recruitment channels.
- Coordinate the full recruitment cycle, including receiving hiring requests, preparing and updating job descriptions, posting vacancies, sourcing and screening candidates, arranging interviews, preparing offers, and coordinating onboarding.
- Work closely with hiring managers to ensure recruitment needs are fulfilled in a timely manner.
- Maintain and update the recruitment database and candidate pipeline.
2. Compensation & Benefits
- Execute the monthly payroll process, including attendance, payroll, commissions, allowances, and other employee benefits for both local employees and expatriates, ensuring accuracy and timely payment.
- Manage mandatory social insurance, health insurance, and unemployment insurance registration, contribution, adjustment, and claim procedures in accordance with Vietnamese regulations.
- Register employee dependents and handle Personal Income Tax (PIT) registration, declaration, reporting, annual finalization, and other related tax matters.
- Prepare, renew, amend, and terminate labor contracts and related documents while ensuring compliance with the Vietnam Labor Code.
- Monitor and communicate updates to labor laws, social insurance regulations, and tax policies to ensure company compliance.
- Prepare and submit all required HR reports to relevant government authorities accurately and on time.
- Maintain employee records and ensure the confidentiality and accuracy of HR documentation.
3. Administration
- Oversee daily office administration, including office supplies procurement, asset management, facility maintenance, and general office operations.
- Coordinate visa applications, work permits, temporary residence cards, and other immigration-related procedures for expatriates, in collaboration with external service providers.
- Manage vendor relationships and service contracts, monitor service performance, verify monthly invoices, and collect VAT invoices.
- Purchase office supplies and stationery to support business operations.
- Arrange domestic and international business travel, including flight bookings, hotel reservations, and transportation.
- Organize company trips, employee engagement activities, sports tournaments, and corporate events.
4. Legal & Compliance
- Coordinate with external legal consultants to prepare and submit documents for company licensing and regulatory compliance, including ERC, IRC, Retail Business License, and other required permits.
- Support legal documentation and administrative compliance as required.
5. Other Responsibilities
- Perform other duties assigned by the line manager.
