Job Description

United Potteries Saigon, a leading pottery and furniture manufacturer in Vietnam is expanding. Our trading company FEK is looking for qualified candidates with export and merchandising experience to assist and report directly to the Vice President.

ASSISTANT TO VP / MERCHANDISER / EXPORT-COORDINATOR

Job Description:

·  Assist the Vice President in daily business operations and administrative tasks.

·  Coordinate and follow up on customer orders from quotation stage through purchase orders, production, shipment, payment, and customer feedback.

·  Support communication and coordination between internal departments including production, quality control, labeling, and warehouse teams to ensure smooth operations.

·  Liaise with external partners such as customers, inspection companies, and logistics providers regarding quality checks, container bookings, and shipment arrangements.

·  Prepare, review, and maintain shipping and export documentation including Commercial Invoices, Packing Lists, Bills of Lading, fumigation certificates, and related documents.

·  Monitor and follow up on customer enquiries, quality claims, samples, and new product developments.

·  Organize meetings, schedules, travel arrangements, and reports for the Vice President as required.

·  Prepare presentations, correspondence, and internal reports using Word, Excel, and PowerPoint.

·  Handle confidential information with professionalism and discretion.

·  Support other business coordination and administrative tasks assigned by the Vice President.

Job Requirement

Requirements:

·  Strong attention to detail and excellent organizational skills.

·  Ability to manage multiple tasks and prioritize effectively.

·  Professional communication and customer service mindset.

·  Fluent in English, both written and spoken, is a must.

·  Additional languages such as Chinese or German are a plus.

·  Proficient in Microsoft Word, Excel, and PowerPoint.

·  Fast and accurate typing skills.

·  Proactive, reliable, and able to work independently.
