JOB DESCRIPTION
- Provide administrative support and prepare daily operational reports for the Operations Director.
- Assist the Operations Director and Operations Managers with administrative tasks such as calendar management, document preparation, and coordination.
- Coordinate with Operations Managers, team members, and relevant departments to ensure smooth production line operations and improve overall efficiency.
- Maintain communication with regional plants to update operational reports and follow up on key actions.
- Schedule meetings, organize appointments, record meeting minutes, and monitor follow-up actions.
- Work closely with the Planning Department to monitor production and maintenance schedules, track progress, and report updates to the Operations Director.
- Conduct regular on-site inspections to ensure maintenance activities and ISO/BRC/FSSC standards are properly implemented in practice.
- Perform timely incident reporting, including documentation and preliminary investigation of near-misses and equipment failures.
- Track and monitor key performance indicators (KPIs) such as Overall Equipment Effectiveness (OEE), spoilage rates, and cost performance.
- Utilize ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) for data management, reporting, and inventory tracking.
- Support the development, update, and continuous improvement of Standard Operating Procedures (SOPs) based on operational feedback.
- Monitor departmental expenses against budget and support invoice processing, including urgent operational costs.
- Implement and control documentation related to ISO, BRC, ASI, FSSC, and other applicable international standards.
- Track and ensure timely closure of Corrective and Preventive Actions (CAPA) from audits and quality reviews.
- Coordinate with HR & Admin and EHS teams to organize training programs and operational events.
- Build and maintain effective working relationships across departments to foster a positive and productive work environment.
- Perform other reasonable tasks as assigned by the Director/Manager.
