JOB DESCRIPTION

  1. Provide administrative support and prepare daily operational reports for the Operations Director.
  2. Assist the Operations Director and Operations Managers with administrative tasks such as calendar management, document preparation, and coordination.
  3. Coordinate with Operations Managers, team members, and relevant departments to ensure smooth production line operations and improve overall efficiency.
  4. Maintain communication with regional plants to update operational reports and follow up on key actions.
  5. Schedule meetings, organize appointments, record meeting minutes, and monitor follow-up actions.
  6. Work closely with the Planning Department to monitor production and maintenance schedules, track progress, and report updates to the Operations Director.
  7. Conduct regular on-site inspections to ensure maintenance activities and ISO/BRC/FSSC standards are properly implemented in practice.
  8. Perform timely incident reporting, including documentation and preliminary investigation of near-misses and equipment failures.
  9. Track and monitor key performance indicators (KPIs) such as Overall Equipment Effectiveness (OEE), spoilage rates, and cost performance.
  10. Utilize ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) for data management, reporting, and inventory tracking.
  11. Support the development, update, and continuous improvement of Standard Operating Procedures (SOPs) based on operational feedback.
  12. Monitor departmental expenses against budget and support invoice processing, including urgent operational costs.
  13. Implement and control documentation related to ISO, BRC, ASI, FSSC, and other applicable international standards.
  14. Track and ensure timely closure of Corrective and Preventive Actions (CAPA) from audits and quality reviews.
  15. Coordinate with HR & Admin and EHS teams to organize training programs and operational events.
  16. Build and maintain effective working relationships across departments to foster a positive and productive work environment.
  17. Perform other reasonable tasks as assigned by the Director/Manager.

Job Requirement

  • Bachelor’s degree in Business Administration, Languages, or related fields.
  • At least 3 years of experience in operations assistant, executive assistant, or a similar role in a manufacturing environment is preferred.
  • Fluent in English (all four skills).
  • Good communication and interpersonal skills, with the ability to work effectively across different teams.
  • Strong organizational and multitasking skills, with attention to detail.
  • Basic understanding of operational processes, KPIs, and production environments is an advantage.
  • Familiarity with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) is preferred.
  • Ability to handle sensitive and confidential information with integrity.
  • Proficient in computer skills (Microsoft Office and related tools).

  • Working time: Monday – Thursday: 8:00am – 17:00pm/ Friday: 8:00am – 16:00pm
