Job Description

RESPONSIBILITIES:
1. Business Related Responsibilities for Advisory:

  • Manage the SBI system, including entering client information such as database details, proposals, opportunities, contracts, and payments.
  • Prepare proposals based on requirements and information provided by respective HODs or authorized person.
  • Prepare contracts and follow up on billing and collections.
  • Champion the application of AI in Advisory, including initiatives like Legal Leg back.

2. Personal Assistant to BOD:

Providing general administrator & clerical assistance to BOD, including:

  • Making sure that the BOD's schedule is adhered to and respected.
  • Facilitating smooth communication between the BOD office and internal departments, maintaining credibility, trust, and support with senior management staff.
  • Assisting in the organization of internal and external events with necessary preparations and collaboration with relevant stakeholders.
  • Attending BOD meetings, documenting attendance, taking minutes, and implementing appropriate follow-up actions.
  • Taking responsibility for arranging the travel plans of the BOD, including booking hotels, air tickets, meeting rooms & claims related.
  • Preparing and translating materials that support the BOD's meetings.
  • Ensuring the confidentiality and sensitivity of handling all information related to the BOD office and seeking consultation where necessary.
  • Undertaking any other tasks or projects assigned by the BOD.

Job Requirement

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Office Management, Secretary, Languages, or related fields.
  • Minimum of 3 years of experience in an Executive Assistant or Personal Assistant role, preferably supporting senior-level executives (e.g., C-suite).
  • Experience in international or consulting/real estate/investment companies is a plus.
  • Excellent organizational and time management skills, able to manage and maintain executive calendars effectively.
  • Strong interpersonal and communication skills, with the ability to coordinate across departments and with external stakeholders.
  • Proficient in administrative and clerical tasks, including minute-taking, document preparation, and event coordination.
  • Advanced skills in Microsoft Office (Word, Excel, PowerPoint).
  • Strong problem-solving and multitasking abilities, able to work in a fast-paced and confidential environment.
  • Fluent in English, both written and spoken (equivalent to IELTS 6.5+ or similar standard).
  • Capable of drafting, translating, and presenting bilingual documents clearly and professionally.
  • Personality & Attitude:

- Highly responsible, detail-oriented, and accurate.
- Proactive, flexible, and able to handle urgent or last-minute tasks as needed.
- Maintains strict confidentiality and discretion in handling sensitive information.
