We are looking for a highly organized, proactive, and detail-oriented Project Assistant to support the Wellness Business Director in coordinating strategic initiatives, managing cross-functional projects, and ensuring smooth execution across internal teams and external partners.
You will work directly with the Director, gain exposure to business strategy and project management, and play an important role in building an innovative Healthcare & Aesthetics business.
KEY RESPONSIBILITIES
1. Project Coordination
- Support the Director in planning, coordinating, and tracking multiple projects simultaneously.
- Prepare project timelines, task lists, and progress updates.
- Monitor deadlines, proactively follow up with stakeholders, and ensure projects stay on schedule.
- Coordinate with internal teams and external partners to resolve issues and keep projects moving forward.
2. Research, Reporting & Business Support
- Conduct market and business research to support strategic decision-making.
- Gather, organize, and analyze information from multiple sources.
- Prepare reports, dashboards, presentations, and business documents.
- Translate data into actionable insights and recommendations.
3. Agency & External Partner Management
- Serve as the primary point of contact for agencies, consultants, and external partners.
- Coordinate meetings, prepare materials, and facilitate communication.
- Take meeting minutes, summarize action items, and follow up on deliverables.
- Maintain contracts, project documentation, and related records.
4. Cross-functional Coordination
- Coordinate cross-functional initiatives and monitor project execution.
- Communicate priorities and key decisions clearly across teams.
- Ensure alignment and timely completion of assigned tasks.
5. Director Support
- Manage the Director's calendar, meetings, and appointments.
- Prepare documents and materials for meetings.
- Maintain organized records and confidential information.
- Provide administrative and project support as required.
- Perform other duties as assigned based on business needs
