Job Description

JOB PURPOSE

The Project Manager (Marketing) serves as the central orchestrator of workflow efficiency across the Marketing Support division and other ESVN departments/services, ensuring seamless project flow from intake through delivery. This role is responsible for strategic resource allocation, capacity planning, cross-functional coordination, and continuous process optimization to maximize team productivity, ensure on-time delivery, and maintain high-quality marketing services across US, VN, and EU operations.

WHAT YOU’LL BE DOING

1. Workflow & Project Management

• Establish and maintain standardized project intake processes and request forms

• Triage incoming requests, assess scope, complexity, and resource requirements

• Create and maintain master project schedules across all teams and regions

• Set realistic timelines based on scope, complexity, and resource availability

• Assign projects to appropriate teams based on skills, capacity, and priorities

• Track all active projects through completion using project management systems

• Monitor project progress against milestones and proactively address delays

• Conduct daily stand-ups and weekly status meetings to review the pipeline

• Maintain real-time visibility into project statuses for all stakeholders

• Implement project management best practices and workflow standards

• Manage change requests and scope adjustments with stakeholder approval

• Archive completed projects and maintain project documentation

2. Resource & Capacity Management

• Assess and monitor team capacity and availability across all functional areas

• Forecast resource needs based on project pipeline and historical data

• Allocate resources strategically to balance workload and optimize productivity

• Identify resource constraints, bottlenecks, and potential overutilization risks

• Create capacity reports and utilization dashboards for leadership visibility

• Balance competing priorities and negotiate resource allocation conflicts

• Plan for seasonality, peaks, and resource availability (vacations, training)

3. Stakeholder Coordination & Communication

• Serve as primary liaison between requestors and Marketing Support teams

• Facilitate clear communication of project requirements, expectations, and timelines

• Organize and lead project kickoff meetings with all relevant stakeholders

• Provide regular status updates to requestors and leadership on project progress

• Coordinate dependencies across multiple concurrent projects and teams

• Manage escalations and resolve conflicts related to priorities and timelines

• Ensure alignment between creative teams and requestors on deliverables

• Set and manage stakeholder expectations on turnaround times and feasibility

• Communicate capacity constraints and recommend prioritization strategies

• Facilitate feedback loops and approval processes to prevent delays

• Build and maintain strong relationships with internal clients and partners

4. Process Optimization & Systems Management

• Identify process inefficiencies, bottlenecks, and opportunities for improvement

• Develop and document standard operating procedures for workflow management

• Drive adoption of new tools, systems, and workflow improvements across teams

• Leverage automation and technology to enhance workflow efficiency

• Conduct post-project reviews to identify lessons learned and process refinements

• Benchmark against industry best practices and implement improvements

• Other tasks as assigned by the Line Manager

Job Requirement

Job requirements

1. Education

• Bachelor’s Degree from a university in Business, Engineering, or a related field, preferred.

• Project Management certification (PMP, or equivalent)

2. Experience

• Experience in global or multi-region operations

• Background in marketing support or creative services

• Experience implementing project management systems

3. Knowledge

• Creative production workflows

• Agile/Scrum methodologies

• Marketing operations frameworks

4. Skills

• Analytical and data-driven decision making

• Change management capabilities
