1. Position Overview
The Receptionist is responsible for managing the front desk and providing professional support to tenants and visitors within the building. This role ensures smooth daily front office operations, assists tenants with service requests, and supports building operations by coordinating communication between tenants, visitors, and the operations team.
2. Key Responsibilities
2.1 Front Desk Management
- Manage the reception area and welcome visitors, tenants, and guests in a professional manner.
- Handle incoming calls, emails, and general inquiries related to building services.
- Manage visitor registration and access procedures when required.
- Coordinate mail, deliveries, and courier services.
2.2 Tenant Service Support
- Act as the first point of contact for tenant requests and inquiries.
- Record tenant requests, complaints, and service issues.
- Coordinate with the Operations Supervisor or Maintenance Team to ensure timely resolution.
- Follow up with tenants to confirm that issues have been resolved.
2.3 Administrative Support
- Maintain front desk records including visitor logs, service requests, and incident reports.
- Support documentation related to building operations.
- Assist in coordinating meeting rooms, shared facilities, and tenant events if applicable.
2.4 Communication & Coordination
- Ensure effective communication between tenants, building management, and service teams.
- Support the Operations Supervisor in daily operational coordination.
- Provide clear information to tenants regarding building rules, procedures, and services.
