Job Description

The Sales Admin is responsible for ensuring smooth order processing, accurate data entry, and effective coordination with logistics partners. This role plays a critical part in ensuring timely and efficient delivery of products to customers while maintaining strong internal and external stakeholder communication.

Reports

  • Maintaining and updating sales and customer records.
  • Compiling sales reports, inventory reports, revenue reports, and team activity (visit…)
  • Sales data analysis and follow-up the Sales performance
  • Calculating selling programs (bonus, incentive, etc.)

 Documentation preparation

  • Business contracts/ Commitments/ Agreements; follow the status and validity terms of the current contract (revise contract if changing policy or address…)
  • Consolidate all customer's information including contract types, and dates & in charge of hard copy storage for further archive.

Operational supports

  • Managing and preparing the company’s materials to support Retail team: full-sized products, sampling, gifts, POSM, and Marketing materials for their activations
  • Delivering documentation and materials for Retail team when needed; following up on the use of the company's assets
  • Support for the organization of some event or activity
  • Prepare the slides of the presentation for the meeting and reporting
  • Other tasks assigned by the manager

Customer & Stakeholder Communication

  • Serve as the primary point of contact for customers regarding order status, delivery schedules, and any related inquiries.
  • Work closely with sales, logistic partner and supply chain teams to resolve order-related issues efficiently.
  • Handle complaints related to order fulfillment and provide timely resolutions.
  • Maintain and update customer records in the system, ensuring accuracy of contact details and order history.

Job Requirement

Qualifications 

  • Bachelor’s degree in Business Administration, Supply Chain, or a related field preferred 

Experience 

  • 2+ years of experience in customer service, order management, or logistics coordination 

  • Proficiency in ERP/order management systems (SAP, Oracle, or similar) is an advantage. 

Skills & Competencies 

  • Strong attention to detail with a high level of accuracy in data entry. 

  • Excellent communication and problem-solving skills. 

  • Ability to multitask and work in a fast-paced environment. 

  • Strong team player with a proactive and customer-centric mindset.
