Job Description

The Staffing Services Assistant will support the Staffing Services team by providing support in C&B, recruitment, and administration for the PeopleWise team and Staffing Services clients. This role offers hands-on exposure to full-cycle staffing services operations within an HR consulting environment.

Type of Contract: Internship/Trainee Contract (6 months), with an opportunity to transition to a full-time position upon successful completion of the training period.

Hybrid Working: On-site 2–3 days per week

Job Responsibilities

Payroll & C&B Support:

  • Collect, verify, and input monthly payroll data (working days, overtime, leave, allowances, deductions) for Staffing Services clients and the PeopleWise team.
  • Support accurate calculation of gross-to-net salary, including statutory insurance contributions and personal income tax (PIT).
  • Assist in preparing monthly payrolls, payslips, and payment lists for review and approval.
  • Support annual PIT finalization and other statutory payroll compliance tasks.
  • Track and update payroll-related changes (new hires, terminations, salary adjustments, promotions) to ensure timely and accurate payroll processing.
  • Coordinate with clients to collect and verify payroll inputs accurately and on time each month.
  • Assist in administering employee benefits programs (health insurance, allowances, bonuses, and other welfare benefits) in line with client policies.
  • Support salary and benefits benchmarking or data collection activities when required.
  • Help maintain and update C&B policy documents, salary scales, and benefit schemes for internal reference.
  • Assist in tracking compliance with labor regulations related to compensation, working hours, overtime, and statutory benefits.
  • Support ad-hoc C&B-related requests from clients or the internal team (e.g., salary certificates, benefit inquiries).

HR Administration:

  • Support the preparation, filing, and management of employee records, labor contracts, and HR documents for Staffing Services clients.
  • Assist with onboarding and offboarding administrative procedures (new hire documentation, exit checklists, etc.).
  • Update and maintain accurate HR/employee data in internal systems or trackers.
  • Support recruitment, talent acquisition, and internal HR communications.
  • Perform other tasks as assigned, depending on project workload.

Reporting & Data Management:

  • Prepare and update regular payroll and headcount reports for internal management and clients.
  • Track and consolidate staff data (attendance, leave, turnover, etc.) to support timely and accurate reporting.
  • Perform data checks and quality control to ensure accuracy of payroll and HR data before submission.

Client & Team Coordination:

  • Coordinate with Staffing Services clients and internal stakeholders to ensure timely and accurate service delivery.
  • Communicate effectively in English with international/foreign clients.
  • Provide administrative support to the PeopleWise team on HR/People matters as needed.
  • Actively learn the HR Consulting business model, payroll/C&B best practices, and PeopleWise’s service standards to build a long-term career path.

Job Requirement

  • Educational Qualification: Currently a final-year student (or recent graduate) majoring in Human Resources, Business Administration, Accounting or a related field.
  • Industry Knowledge: Strong interest in building a long-term career within an HR Consulting firm environment.
  • Organization & Administration: Good numerical accuracy, with the ability to manage payroll and HR administrative tasks accurately.
  • Communication Skills: Good English communication skills (verbal and written).
  • Presentation & Language Skills: Good interpersonal skills to work effectively with the internal team and clients.
  • Attention to Detail: Detail-oriented, responsible, and eager to learn, able to manage multiple tasks accurately.
