Job Description

Head Office Coordination

  • Ha Noi, Da Nang staff work closely with the Head Office Operations Team in Ho Chi Minh City to align on tour schedules, product updates, and client requirements
  • Communicate daily operational updates, on-ground feedback, and issue reports to the central team
  • Ensure all (Ha Noi / Da Nang) operations are executed in line with FLORION DMC's service standards and procedures
  • Participate in team briefings, planning calls, and cross-office coordination meetings as required

Tour Operations & Execution

  • Oversee the end-to-end execution of tour programmes for incoming Indian and European groups in and around (Ha Noi / Da Nang)
  • Coordinate all ground arrangements including hotel check-ins, transport logistics, guide assignments, and activity bookings
  • Conduct pre-tour checks to ensure all services are confirmed and documentation is in order
  • Handle last-minute changes, amendments, and on-ground issues swiftly and professionally
  • Ensure guides and drivers are fully briefed and equipped before each tour departure

Supplier & Vendor Management

  • Manage relationships with hotels, restaurants, transport providers, local guides, and activity operators in and around (Ha Noi / Da Nang)
  • Negotiate rates, confirm bookings, and follow up on all supplier confirmations
  • Monitor service quality and provide feedback to suppliers to maintain FLORION DMC's standards
  • Maintain an up-to-date and accurate supplier database for the (Ha Noi / Da Nang) region

Client & Guide Support

  • Act as the primary point of contact for guides and clients during active tours in the Ha Noi / Da Nang region
  • Handle client queries, complaints, and special requests in a timely and professional manner
  • Ensure a consistently high level of service delivery and guest satisfaction
  • Collect post-tour feedback and report insights to the operations and product teams

Administration & Reporting

  • Maintain accurate records of all operational activities, bookings, and communications
  • Prepare operational reports, tour summaries, and cost reconciliations as required
  • Support the Head Office team with data entry, document preparation, and filing
  • Proficiently use Microsoft Office tools and travel operation systems for day-to-day tasks

Job Requirement

Qualifications & Experience

  • Bachelor's degree in Tourism, Hospitality, Business Administration, or a related field
  • Minimum 1–3 years of experience in tour operations, travel agency, or DMC industry
  • Strong knowledge of destinations, hotels, transportation, and tourism services — particularly in northern Vietnam
  • Prior experience working with Indian or European travel groups is a strong advantage

Skills & Competencies

  • Excellent communication and coordination skills — both written and verbal
  • Ability to multitask and work effectively under pressure in a fast-paced environment
  • Strong problem-solving skills and the ability to make quick, sound decisions on the ground
  • Strong time management — able to prioritise tasks and meet deadlines consistently
  • Good command of English, both spoken and written
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and travel operation systems
  • Flexible approach to working hours, including weekends and public holidays when required
  • A proactive, hands-on attitude with a genuine passion for the travel industry
