Job Description

  • Receive direct instructions about daily tasks from the Senior Property Manager.
  • Plan the yearly work schedule based on the scale and characteristics of each property under the Senior Property Manager's supervision.
  • Back up vacant positions for projects under management, such as customer service supervisor, building executive, operation manager, and other administrative tasks.
  • Assist the Property Manager in formulating the estimated project budget for the next year and developing a master plan for project management upon request from the Senior Property Manager.
  • Collect project reports, adjust proposals, and make notices for residents and tenants.
  • Check company processes and standard operating procedures (SOPs) and implement them for projects under the Senior Property Manager’s supervision.
  • Arrange appointments and coordinate meetings under the chairmanship of the Senior Property Manager.
  • Attend and record minutes of meetings if required.
  • Prepare and distribute memos, information, and working documents proposed by the Senior Property Manager.
  • Receive and store reports from property managers overseen by the Senior Property Manager.
  • On behalf of the Senior Property Manager, dispatch tasks to all employees and follow up to ensure accurate completion.
  • Draft and present clearly and accurately the “rules and working procedures” proposed by the Senior Property Manager.
  • Assist the Senior Property Manager in negotiating with suppliers/contractors on necessary issues related to building operations when appointed.
  • Supervise and oversee the execution of tasks related to building management and operation (such as processes, contract management, handling customer requests, etc.), and provide timely reports as required by the Senior Property Manager.
  • Quickly send necessary information to all employees.
  • Deal with secretarial tasks including receiving and answering phones, sorting and archiving letters, telephones, faxes, and documents.
  • Draft and translate incoming and outgoing documents; store and collect necessary documents related to the company's operations.
  • Ensure all daily/weekly/monthly/quarterly/annual reports are prepared and submitted on schedule.
  • Perform other tasks assigned by managers.

Job Requirement

  • Graduate from College or University majoring in Business Administration or relevant majors
  • At least 3 years experience in related field. Experience in real estate management preferred.
  • Strong interpersonal, negotiation, and communication skills for liaising with colleagues, customers, and other stakeholders.
  • Independence and teamwork skills.
  • Effective time management, including prioritization of time-sensitive items and the ability to meet deadlines.
  • Proficient English (Both Speaking and Writing).
  • Proficient in Microsoft Office (MS Word, Excel, Power Point).
