Job Description

JOB SUMMARY

- Develop and maintain document control processes for the efficient management and team.

- Assist team regarding the documentation management.

- File in alphanumeric order and locates material from files, and maintain document control system for recording and tracking of all documents for Facility team and department.

KEY RESPONSIBILITIES AND AUTHORITIES

- Develop and maintain document control processes for the efficient management and team.

- Assist team regarding the documentation management.

- File in alphanumeric order and locates material from files, and maintain document control system for recording and tracking of all documents for Facility team and department.

- Pick up and deliver materials as required.

- Set up, copy, scan and store documents

- Create templates

- Manage requests for documentation

- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date

- To liaise with and distribute facility/project related information with all levels of the facility team and potentially external parties

- Maintain confidentiality around sensitive documentation

- Prepare ad-hoc reports on facility/project when required

- Support the team in routine admin roles. Provide secretarial and admin support to the team to ensure the smooth running of the department operations.

- Follow up any deadline and put on calendar as a reminder for facility team.

- Translation from Vietnamese into English and vice versa.

**Working Location: Tan Phu Trung IZ - Cu Chi. We provide shuttle bus from HCM, Binh Duong and Dong Nai


Job Requirement

Education
Bachelor of Business Administration, English/Chinese major
Experience
Minimum three years relevant work experience in document/administrative field

Can speak both English and Chinese languages
Knowledge
- Independent yet a team player who possesses good time management and multi-tasking skills.

- Good attention to detail, Highly organized.

- Familiar with document control system.
Functional Skills
- Strong IT skills in SharePoint, MS office including outlook, excel and word.

- Excellent communication skills
Other Abilities
- Proficient typing skills

- Minute taking
