Team Supervision and Reporting:
Directly supervise the ASO team.
Report to and follow directives from the Head of Academic Services.
Consultation and Guidance:
Advise parents on academic programs across the school system to ensure the best and most suitable choices for each student.
Operational Assistance:
Assist with non-academic aspects of procedures, including handling student complaints, appeals, timetabling, timesheets, re/enrollments, class management, and attendance (recording late arrivals and early dismissals).
Student Status and Data Management:
Track student status (new, current, deferred, withdrawn, etc.), update student results, and manage statistical data for reporting.
Support contacting parents to ensure timely tuition fee payments.
Manage student-related information, including administrative support for examination preparation, attendance lists, result updates, report card issuance, and updates to academic records and special events (discipline, reprimand, reward, etc.).
Ensure data management aligns with MOET, Ontario, IB, and AP criteria and policies.
Administrative Support:
Provide assistance with events (Parent events, New Teacher Orientation, Graduation, etc.) and workshops.
Prepare supporting documents for students, such as confirmation letters and copies of report cards, when required.
Manage related administration tasks.
Translation and Interpretation:
Provide interpretation and translation services for the Leadership team and teachers during meetings with parents.
Draft, translate, and distribute letters to parents within the system.
Service Termination:
Record and promptly notify relevant departments when a student ceases to use the services.
Communication:
Ensure accurate and timely communication with clients on all requests, including advising students and parents.
Utilize persuasion skills when dealing with internal and external contacts.
Confidentiality and Compliance:
Maintain confidentiality and integrity while ensuring compliance with legislative reporting requirements of student records.
Collaboration:
Collaborate with other administrative staff within and outside the ASO to ensure smooth execution of administrative duties.
Team Participation:
Contribute effectively to the service team's goals by completing tasks accurately and on time.
Other Duties:
Perform other administrative and operational duties as assigned by the Head of Academic Services.
Bachelor’s degree in Administration, Education, or a related field. A master’s degree or relevant certification is a plus.
At least 5-7 years of experience in a similar administrative role, preferably within an educational institution.
Experience in supervising a team and managing administrative functions.
Demonstrated ability to handle multiple tasks simultaneously and solve problems efficiently.
Excellent verbal and written communication skills in English and Korean.
Proficiency with office computer systems and software.
Ability to organize work independently while also being an effective team player.
Strong observational skills and the capability to address and resolve issues quickly and effectively.
Possess a proactive, can-do attitude.
Careful, meticulous, and well-organized with a commitment to maintaining confidentiality.
Strong communication skills and a high level of professionalism.
