Key Responsibilities
1. Internal:
● Manage, track and verify all stages of customer orders from sampling to dispatch.
● Create customer project plans in conjunction with key department points of contacts.
● Oversee customer project/order activities and ensure compliance with project plans, order fulfillment and schedules.
● Monitor and report daily on project/order progress, resolving issues as they arise.
● Run risk assessment for new products (PPM, sample and shade band approval in collaboration with customer and sales team.)
● Utilize key departments/points of contacts to receive updates on production and project deliverables and troubleshoots any issues/conflicts to prevent project delays.
● Control Gold Seal Samples
● Leverage key departments/points of contacts to ensure that the production timeline matches the Project Production Plan.
2. External
● Support the Customer Project Coordinator in liaising with clients to address any concerns or requirements during project execution.
● Provide testing support and engage with customers during series testing and inline testing.
● Submit product documentation via email or the customer’s system.
● Ensure effective communication between the project team and clients to meet project requirements.
3. Follow up and Reporting
● Provide daily updates to the Customer Project Manager, account managers,
regional managers and affiliated contacts for the project/customer on project
status, challenges, and achievements.
● Conduct visual checks/verification to ensure all information provided from
key departments/points of contact is accurate; should there be any
inaccuracies, it should be reported to the Customer Project Manager with
recommendations and solutions immediately.
● Include photo documentation (when applicable) to account managers, regional
managers and Customer Project Coordinator
● Conduct visual checks with documented photographs/reports at each step of the
project from sampling to shipping.
● Prepare detailed reports on project activities, including progress and performance
metrics.
4. Collaboration with Key Departments
● It is not the responsibility of the Customer Project Coordinator to carry out
tasks under the responsibility of other departments (i.e., creating production
timelines, creating sample requests, calculating loadability, etc.,) these tasks
must be handled by their respective departments. However, the Customer
Project Coordinator must ensure these tasks are being completed on time and
to the customers’ requirements and satisfaction.
● It is not the responsibility of the Customer Project Coordinator to carry-out
QA & QC duties. However, it is the responsibility of the CPC to do their own
visual checks of the products to ensure product quality outside of the QA &
QC department. They are also responsible for ensuring the QA & QC reports
are submitted and completed on- time. The CPC has the right to query or
stop any order from going out until a potential quality issue has been resolved
or approved. This is outside of the QA & QCs authority to also stop any order
from going out for a quality issue.
5. Additional Tasks
● Assist with meeting coordination related to project updates
● Perform other duties as required by the Customer Project Manager.
