Executive Assistant to COO

JOB DESCRIPTION:

1. Administrative Support & Meeting Coordination

• Manage the COO’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Organize and maintain files and records, ensuring confidentiality.
• Prepare agendas, take minutes, and distribute notes for meetings attended by the COO.
• Track and follow up on action items and decisions made in meetings.
• Coordinate logistics for internal and external meetings, conferences, and events.

2. Operational Support

• Assist in the planning and execution of strategic projects and initiatives.
• Coordinate and follow up on project timelines, deliverables, and action items.
• Liaise with various departments and teams to ensure alignment with the COO’s directives.

3. Adhocs

• Handle special projects and assignments as directed by the COO.
• Perform other duties as assigned to support the COO and the organization.

SKILL AND EXPERIENCE

●        Knowledge

Bachelor’s degree in Business Administration, Management, or related field preferred.

Knowledge in Supply Chain, Finance, Operations

Language: Good communication in English & Vietnamese

Good Microsoft office (Excel, PowerPoint, Word);

●    Experience

 Minimum of 3-5 years of experience in an administrative or executive assistant role.

Experience in a fast-paced corporate environment is highly desirable.

●        Skills

Excellent organizational and time-management skills.

 Strong written and verbal communication abilities.

 Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle sensitive information with discretion and maintain confidentiality.

Strong problem-solving skills and attention to detail.

Ability to work independently and collaboratively within a team.

Adaptability and a High level of professionalism and integrity.

Proactive and self-motivated with a strong sense of initiative.

Ability to build and maintain positive relationships with internal and external stakeholders.

Demonstrated commitment to continuous improvement and learning. Ability to prioritize tasks in a dynamic environment.
