Job Description

Executive Assistant to BoM (50%)

• BoM Document management:

Oversee the efficient and secure processing of documents requiring BoM’s signatures.

Maintain a clear and organized record of all signed/bidding documents.

• Calendar Coordination:

Manage appointments, meetings, and travel arrangements, prioritizing and ensuring adherence

to deadlines.

Resolve scheduling conflicts and communication with internal and external stakeholders.

• Meeting Support:

Assist BoM with ongoing and recurring meetings by coordinating with internal teams.

Prepare logistics, agendas, and briefing materials for meetings. Conduct the MoM.

• Travel Coordination:

Arrange travel for BoM (and their family members) as required.

Coordinate travel and logistics arrangements for another team when business occurs.

• Documents process:

Involve in Visa, Work Permit, TRC, fast track services for BoM.

Process business payments/claim for Management and another team, and manage petty cash.


Administration (50%)

• Front Desk support:

To take care of and welcome guests and company hotline.

Handle incoming and outgoing mail and deliveries.

• Company and department events:

Support and coordinate with stakeholders for company events as assigned.

• Other tasks: As assigned.

Job Requirement

Required Qualifications and Requirements:

• Minimum of 5 years of experience working as a Personal Assistant or Executive Assistant within a multinational corporation.

• Proficiency in English, both written and verbal, with strong communications skills.

• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Additional fluency in Chinese language and experience with accounting system are advantageous.

• Demonstrated expertise in organizational management, time allocation, and tasks prioritization.

• Proven ability to work autonomously, show initiatives, and resolve challenges efficiently.

• Excellent interpersonal skills, adept at building relationships across all hierarchical levels.

• Discretion, professionalism, and reliability, maintaining a high level of confidentiality.

• Capacity to thrive in dynamic environment, adeptly manage multiple responsibilities concurrently
