CORE JOB RESPONSIBILITIES:

1. Main purpose of Role

The Associate Event Manager will lead a dynamic event team, each member responsible for specific event categories. This role is pivotal in orchestrating successful events and meetings by collaborating closely with the Brand team, Compliance, Sales, external logistics, and event agencies. The Associate Event Manager will play a crucial leadership role in enhancing team performance and stakeholder engagement, ensuring event excellence and fostering creativity and innovation in event planning.

2. Key responsibilities:

  • Event Planning & Execution:
    • Oversee the planning and execution of all events and meetings including external events with HCPs and internal events.
    • Ensure each team member effectively manages their assigned event categories.
    • Coordinate with internal teams (Brand, Medical, Sales, Compliance, Legal…) and external partners (logistics, event agencies).
    • Integrate creative and innovative concepts into event planning to effectively convey the value and message of each category, thereby enhancing the overall attendee experience.
  • Leadership & Team Management:
    • Lead, mentor, and motivate the event team through positive communications.
    • Foster a collaborative and high-performance team culture.
    • Conduct regular team meetings and performance reviews.
  • Stakeholder Engagement:
    • Build and maintain strong relationships with key stakeholders.
    • Ensure clear communication and alignment with all parties involved in event planning and execution.
    • Address and resolve any issues or conflicts that arise.
  • Event Excellence:
    • Establish and maintain high standards for event quality and attendee satisfaction.
    • Implement best practices and continuous improvement processes for event management.
  • Budget Management:
    • Develop and manage event budgets.
    • Ensure cost-effective use of resources while maintaining high-quality standards.
  • Compliance & Reporting:
    • Ensure all events comply with company policies and regulatory requirements.
    • Lead and present post-event reports, including feedback and performance metrics.

3. Supervisory responsibilities

  • Manage event teams including event executive, event administrator.

Job Requirement

MINIMUM BACKGROUND/ EXPERIENCE & SKILL REQUIRED:

  • Over 3 years of experience in a managerial or leadership role in event management, preferably within the pharmaceutical industry or with an event agency background.
  • Excellent organizational and multitasking abilities.
  • Strong problem-solving skills abilities to identify issues, develop solutions, and implement effective strategies to ensure the smooth execution of events.
  • Experience working with Cross functional team & external parties with high level of interpersonal and communication skills.
  • Ability to work under pressure and meet tight deadlines.
  • Ability to develop innovative ideas and concepts for event planning that effectively convey the value and message of each category, enhancing the overall attendee experience.
  • Proficiency in event management software and tools (including event planning & tracking, project management tools, communications platforms…)
  • Highly proficient in Excel and PowerPoint.
  • Highly proficient in English.
  • Knowledge of compliance and regulatory requirements in the pharmaceutical industry is a plus.

MINIMUM EDUCATION REQUIRED

  • Bachelor’s degree in Event Management, Marketing, Business Administration, or related fields
