Job Description:

'WHAT WILL YOUR ROLE BE?

As an HR Assistant at Crowe Vietnam, you will be a key member of our team, ensuring that HR operations run smoothly, accurately, and in compliance with regulations. You will directly contribute to creating a positive experience for all our employees. Your main responsibilities will include:

1. Compensation & Benefits (C&B):
Manage Payroll Data: Consolidate and verify timesheets, leave days, and overtime (OT) data to ensure absolute accuracy for monthly payroll processing.
Handle Social Insurance (SI) Procedures: Manage monthly SI declarations, process claims (sick leave, maternity leave, etc.), and complete the final SI book closure for departing employees.
Personal Income Tax (PIT) Declaration & Finalization: Take charge of monthly PIT declarations, register personal tax codes and dependents, and support the annual PIT finalization process.
Administer Employee Benefits: Directly implement employee care activities, such as sick visits and distributing gifts for holidays and special occasions (Tet, Mid-Autumn Festival, International Children's Day, etc.).
Manage Trade Union Fund: Propose the operational budget from the Trade Union Fund and manage its collection and expenditure in line with union requirements.

2. Compliance & Employee Relations:
Manage Labor Contracts: Draft, track, manage, and archive labor contracts, ensuring full legal compliance.
Handle Legal Reports & Procedures: Assist in preparing periodic reports for the Ministry of Finance (MOF), manage procedures related to professional certifications, and draft other legal documents.
Support Employee Procedures: Guide and handle procedures for departing employees, including income verification and handovers.

3. Engagement & Employee Experience:
Organize Internal Events: Support the HR Team Leader in planning and directly participating in the organization of company events such as the Company Trip, Annual Health Check-up, Year-End Party, and Company Birthday celebrations.
Facilitate Onboarding Process: Support HR Team Leader to organize and directly implement the onboarding process to ensure new employees have the best possible experience from their very first day.
Support Branding & Internal Communications: Manage administrative tasks for branding materials (name cards, backpacks, uniforms, etc.) and support internal communication activities (congratulatory banners, event-based email signatures, etc.).
4. Recruitment & Training Support:

Assist in Recruitment: Welcome candidates, support with CV screening, respond to inquiries on recruitment channels, and track the recruitment pipeline.
Coordinate Training Activities: Track and register for training courses and certification exams, manage training costs, and handle related administrative procedures.
5. HR Operations & Admin:

Manage HR Systems & Files: Update employee information on the internal management system (IMS) and organize and maintain physical employee records.
Provide Administrative Support: Welcome guests, prepare meeting rooms, and perform other administrative tasks as required.

Job Requirement

Minimum 1 year of experience in a similar HR role.
Solid foundational knowledge of Vietnamese Labor Law, Social Insurance (SI), and Personal Income Tax (PIT).
Core Competencies & Personal Attributes:

Tech-Savy:
Proficient in MS Office, especially Excel.
Experience with HR management software (HRM), timekeeping systems, or electronic SI declaration software is a plus.
Basic proficiency with Canva or other simple design tools to create internal communication materials is an advantage.
English Proficiency:
Ability to read and understand documents, emails, and communicate at a basic level to support expatriate staff and handle materials from Crowe Global.
