Main duties will be to prepare, follow and review various company contracts, including purchases and sales, or business partnerships. Manage information on status of the contracts. Arrange hard and soft copies of files, documents related to the contracts of each account.
- Make contract based on Trade Term and ensure all deadlines and conditions described on it are met (e.g. products, payments, delivery information, …).
- Collect necessary documents before making contract, such as: Certificate of business registration, Retail/ Wholesale licenses, Authorization letter…
- Communicate contract or adjust term as revised by internal and external business partners.
- Follow and explain terms and conditions which is discussed between both parties to managers and interested parties.
- Summarize all documents and submit them to the required departments: Sales Manager, Head of Sales, Financial Department, Legal Department, BOD and send to customers as soon as possible.
- Follow status on signing contract to make sure it is signed correctly, quickly and on time by both Parties.
- Update ongoing contracts with Target quarterly/yearly to consider if they are eligible for contract renewals.
- Inform timely to the line Manager and Sales Department about the expired and nearly expired contracts that need to be reviewed on commercial terms.
- Stay up-to date with legislative changes and coordinate with the legal department as needed.
- Receive correspondence related to the contracts, scan files, update on shared folder (F-drive) & Periodically arrange hardcopy document folders.
Job Requirement
Requirements and skills:
- Graduated from university or postgraduate programs, related to Business, Business administration or equivalent fields.
- Profound understanding of administrative management processes and activities related to sales.
- Preferred have 3 - 5 years of experience in the related Industry experience with 1 - 3 years in Sales or Admin Department.
- In-depth knowledge of administrative management processes and sales support tools.
- Organizational, time management, and effective problem-solving skills.
- Excellent communication skills and the ability to work in a multicultural environment
- Proficiency in utilizing CRM software and other relevant tools for sales management and reporting.
