* Position 1: Shipping Inbound Specialist (Operations)
- Handle import process and ensure smooth delivery of import shipment to factories.
- Work with oversea team to get the shipment’s details, prepare shipping docs and work with Customs broker to complete customs procedure.
- Monitor the shipment, coordinate with all concerned parties and customs broker to resolve all arisen issues related and arrange for the best delivery schedule.
- Effective communication with the concerned parties to ensure all the import shipments on time and meet customer/production request.
- Co-operation with other departments to make delivery schedule and coordinate the trucks daily.
- Expense report checking and implement payment procedure for all inbound shipping cost.
- Report to supervisor if any deviation from the established SOP
- Perform other duties as assigned by supervisor.
* Position 2: Shipping Inbound Specialist (Billing)
- Checking Statement of Account (SOA) and Import Shipment Expenses
- Reviewing and verifying statements of account (SOA) and expenses related to import shipments, including materials and machinery.
- Receive, review, and analyze incoming RFQs from vendors.
- Collaborate with other relevant departments to gather necessary information for the quotation process.
- Ensure all RFQ requirements are clearly understood and addressed in the quotation.
- Maintain organized records of all RFQs and associated documentation.
- Track and report on the status of each RFQ, providing regular updates to relevant stakeholders.
- Document lessons learned and best practices for continuous improvement.
- Liaise with vendors to clarify RFQ requirements and address any inquiries.
- Communicate effectively with internal teams to obtain necessary information for quotation.
- Collaborate with other teams to ensure a cohesive vendors experience.
- Stay informed about industry trends, market conditions, and competitor pricing strategies.
- Provide insights and recommendations to enhance the company's competitiveness in the market.
- Proactively identify opportunities for process improvement in the RFQ management process.
- Work with cross-functional teams to implement improvements and streamline workflows.
- Performing any other duties as assigned by the supervisor.
- Bachelor’s degree in Accountant / Import-Export
- 2-3 years working experience (background in EPE is preferred)
- Experience in working with Forwarders (Sea, Air, Express) and Carriers is a must.
- Experienced and skillful in shipment arrangement
- Proficiency in customs procedures and experienced in resolving customs related matters
- Proficient in computer applications, especially Excel, VBA, Power BI, SQL.
- Familiarity with VNACCS software and a strong understanding of ERP systems.
- Excellent reporting skills, with mandatory proficiency in English; proficiency in Mandarin or Cantonese is desirable.
