Mô tả Công việc

We are seeking a highly organized and detail-oriented Department Admin (Automation) to support the daily operations of our Automation Department. This position will focus on maintaining accurate procurement data, automating documentation and reporting processes, coordinating with vendors, and ensuring effective management of product and warehouse data. The ideal candidate will be proactive, with strong administrative and technical skills, able to handle a variety of tasks to ensure the smooth operation of the department.

Key Responsibilities:

  1. Accurately enter and maintain Purchase Requisition (PR) data into the purchasing system, ensuring efficient procurement process initiation.

  2. Reach out to suppliers for quotes, delivery times, discounts, and product availability. Ensure the best possible pricing and terms are obtained.

  3. Create and send purchase orders (PO) to suppliers, ensuring all terms, specifications, and details are clearly communicated and correct.

  4. Maintain and update vendor data, including pricing lists, product specifications, and contact information to ensure accuracy and completeness.

  5. Build and manage automated systems for documentation and reporting, ensuring accurate tracking of design files, project progress, issue logs, and inter-departmental communications.

  6. Ensure that all design drawings are version-controlled, updated with each revision, and distributed to relevant teams as needed.

  7. Maintain and update product information tables, track inventory, and support warehouse management activities for efficient stock control.

  8. Collaborate with the design team to gather, validate, and report progress data to ensure projects are on track.

Yêu Cầu Công Việc

1. Education:

  • College/ Bachelor's degree in Business Administration, English Language, Mechanical, Engineering or any related field.

2. Experience:

  • Experienced working as Admin/ Project Coordinator is a plus.
  • Prior experience in procurement, technical documentation, warehouse management, or product data is preferred.

  • Experience with automation tools, process improvement, and reporting systems is beneficial.

  • Fresher with proactive attitude & Fluent English can be trained 100%.

3. Knowledge & Skills:

  • Fluent English communication.
  • Proficiency in Microsoft Offices.

  • Strong stakeholder managements & time management skills.

  • Familiarity with document management systems.

  • Familiarity with ERP or purchasing software is an advantage.

  • High attention to detail and accuracy, especially in a fast-paced environment.

  • Strong data consolidation and reporting skills.
