Role Summary
The Business Administrator keeps daily operations running smoothly by handling online customer service, coordinating with our external accounting firm, and managing order and documentation workflows. This role sits at the center of communication between customers, our fulfilment partner, the accounting firm, and the HQ team.
Customer Service & Escalation Tracking
Maintain and update customer issue logs, including:
Cancellation cases
Return requests
Failed delivery cases
Customer complaints
Track status and follow up with fulfilment partners until resolution.
Escalate non-standard cases to management for decision-making.
Manage customer inquiries and support requests across all online sales and communication channels, including TikTok Shop, Shopee, and future platforms introduced by the company.
Sales Order Monitoring
Monitor daily order status across all sales channels.
Monitor incoming orders, track their status, and flag any problems to management for decision-making.
Support HQ with data collection and administrative requests.
Invoice & Payment Administration
Generate and distribute customer invoices when required.
Coordinate invoice requests between customers, fulfilment providers, accounting firm, and HQ.
Maintain invoice records and filing system.
Documentation & Process Control
Maintain organized records of:
Contracts
Tax documents
Company registrations
Accounting documents
Fulfilment agreements
Ensure documents are stored and accessible for business continuity purposes.
Required
Bachelor's degree in Business Administration, Commerce, Communications, or a related field
Proficient in English — both written and verbal communication (required for coordination with HQ and cross-border teams)
Strong proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive)
Highly organized with strong attention to detail and ability to manage multiple tasks simultaneously
Proactive communicator with a service-minded attitude and ability to follow up independently
Preferred / Advantageous
Experience working with TikTok Seller Center or TikTok Shop operations (strongly preferred)
Familiarity with e-commerce order management workflows and fulfilment coordination
Experience in livestream commerce or content-driven sales formats
Experience in customer service roles within an online retail or social commerce environment
Understanding of basic accounting and invoicing processes
Experience working with cross-functional or cross-border teams
Nice to Have
Experience supporting a regional or international brand
Working Hours
Monday – Thursday:12:00 PM – 9:00 PM
Saturday: Alternating Saturdays (every other Saturday off): 9:00 AM – 6:00 PM
Friday: Off
Sunday: 9:00 AM – 6:00 PM
Scheduled days off may be rotated to support major campaign periods (e.g., Mega Sale events, Brand Campaign Days, and other key promotional activities).
