Demand Planning & Purchasing Executive

Job Purpose

Ensure merchandise demand is planned, purchased and followed up in the right quantity, at the right time and under the correct PO, supporting Sales, Marketing and Display requirements while maintaining appropriate inventory levels.

Key Responsibilities

·         Receive the approved Product Selection / Assortment Plan from Merchandising and translate it into merchandise demand requirements.

·         Consolidate requirements for Selling / Display / Marketing / Backup Stock by period.

·         Build and update the Demand Plan by SKU / collection / category / store.

·         Monitor Stock on Hand, Open PO, In-transit Stock, Sales and future demand.

·         Propose order quantities / replenishment based on demand and inventory position.

·         Prepare, issue and manage Purchase Orders (POs) in accordance with the approval flow.

·         Confirm quantity, price, delivery date, Incoterms and payment terms with suppliers based on approved information.

·         Follow up POs from issuance until supplier delivery completion.

·         Monitor Open PO / overdue PO / partial delivery / cancelled quantity.

·         Coordinate with Logistics & Warehouse to prepare inbound plans.

·         Monitor KPIs such as PO Fulfillment, On-time Delivery, Stock Availability, Inventory Aging and Stock Cover.

·         Prepare reports and provide early warning of stock-out / overstock / late delivery risks to the Supply Chain Manager.

Mục tiêu công việc

Đảm bảo hàng hóa được lập kế hoạch nhu cầu, đặt mua và theo dõi đúng số lượng – đúng thời điểm – đúng PO, nhằm đáp ứng nhu cầu bán hàng, Marketing và trưng bày, đồng thời kiểm soát mức tồn kho hợp lý.

Trách nhiệm chính

·         Nhận Product Selection / Assortment Plan (Kế hoạch lựa chọn/danh mục sản phẩm) đã được phê duyệt từ Merchandising và chuyển thành kế hoạch nhu cầu hàng hóa.

·         Tổng hợp nhu cầu cho Selling / Display / Marketing / Backup Stock theo từng giai đoạn.

·         Xây dựng và cập nhật Demand Plan (Kế hoạch nhu cầu) theo SKU / collection / category / store.

·         Theo dõi Stock on Hand (Tồn kho hiện có), Open PO (PO đang mở), In-transit Stock (Hàng đang vận chuyển), Sales và nhu cầu tương lai.

·         Đề xuất số lượng đặt hàng / replenishment (bổ sung hàng) dựa trên nhu cầu và tồn kho.

·         Chuẩn bị, phát hành và quản lý Purchase Order – PO (Đơn đặt hàng) theo approval flow (luồng phê duyệt).

·         Xác nhận với supplier về quantity, price, delivery date, Incoterms và payment terms theo thông tin đã được phê duyệt.

·         Theo dõi PO từ khi phát hành đến khi supplier hoàn tất giao hàng.

·         Theo dõi Open PO / overdue PO / partial delivery / cancelled quantity.

·         Phối hợp Logistics & Warehouse để chuẩn bị kế hoạch hàng về.

·         Theo dõi các KPI như PO Fulfillment, On-time Delivery, Stock Availability, Inventory Aging và Stock Cover.

·         Lập báo cáo và cảnh báo sớm nguy cơ stock-out / overstock / late delivery cho Supply Chain Manager.

1. Trình độ & Kinh nghiệm

- Tốt nghiệp Đại học các chuyên ngành thuộc khối Kinh tế, Kinh doanh, Thương mại, Chuỗi cung ứng, Logistics hoặc các ngành liên quan.

- Có tối thiểu 3 năm kinh nghiệm trong lĩnh vực hoạch định nhu cầu, thu mua, quản lý hàng hóa hoặc các vị trí tương đương.

- Ưu tiên ứng viên có kinh nghiệm trong ngành bán lẻ, chuỗi cửa hàng, FMCG hoặc thời trang.

2. Kiến thức & Kỹ năng chuyên môn

- Có kinh nghiệm lập kế hoạch nhu cầu, theo dõi đơn hàng, tồn kho và kế hoạch bổ sung hàng.

- Thành thạo Excel; biết sử dụng phần mềm quản lý doanh nghiệp hoặc quản lý chuỗi cung ứng là lợi thế.

- Có khả năng phân tích số liệu và theo dõi tiến độ hàng hóa.

3. Kỹ năng

- Tư duy phân tích, cẩn thận, chủ động trong công việc.

- Kỹ năng phối hợp với các phòng ban và làm việc với nhà cung cấp.

- Có khả năng giao tiếp và xử lý công việc tốt.

1. Education & Experience

- Bachelor’s degree in Economics, Business, Commerce, Supply Chain, Logistics, or related fields.

- Minimum 3 years of experience in demand planning, procurement, inventory management, or similar roles.

- Experience in retail, store chains, FMCG, or fashion is preferred.

2. Professional Knowledge & Skills

- Experience in demand planning, order tracking, inventory management, and replenishment planning.

- Proficient in Excel; experience with enterprise management or supply chain management software is an advantage.

- Ability to analyze data and monitor goods delivery progress.

3. Skills

- Analytical thinking, detail-oriented, and proactive.

- Strong coordination skills with internal departments and suppliers.

- Good communication and task management skills.
