Mô tả Công việc

Key Responsibility:

1.       Procurement Responsibilities

·         Receive purchase requests from Shops; source suppliers, compare quotations, and submit proposals to Line Manager for approval (fire protection equipment, furniture, paint, equipment etc.).

·         Monitor delivery schedules and ensure goods are delivered on time.

·         Compile payment documents, prepare payment requests, and submit them to direct managers for approval; follow up on payment progress with suppliers.

·         Draft and review contracts; arrange for signing and company stamping, then hand over contracts to the Accounting Department for filing and follow-up.

2.       Administrative Responsibilities

·         Monitor and update the supplier list.

·         Monitor and update documents/files related to maintenance and servicing activities for Shops.

·         Track, inspect, manage, and update tools, equipment, and fixed assets related to maintenance and servicing activities for Shops and Warehouses.

3.       Technicial and Maintennace Responsibilities

·         Monitor and control maintenance schedules for Shops (air-conditioner cleaning, etc.).

·         Receive repair requests from Shops; coordinate with contractors/external suppliers to inspect site conditions and carry out repairs (depending on whether the items are still under warranty).

4.       New Project

·         Finding location for Shop, office building

·         Support with Lease Contract

·         Support the construction project team in daily administrative activities

·         Prepare, organize, and maintain project documents, contracts and reports

·         Arrange meetings, site visits, and prepare meeting minutes

·         Monitor material delivery and site documentation

·         Follow up on approvals, inspections, and project handover documents

·         Ensure all project files are properly updated and archived

5.       Other tasks assigned by BOD.

Yêu Cầu Công Việc

Requirement and skills:

·         Degree in Office Administration, Business Administration or related field.

·         At least 3 - 5 years experience for similar position.

·         Highly organized and detail oriented.

·         Strong organizational and multitasking skills

·         Good communication and coordination abilities

·         Ability to work under pressure and meet deadlines

·         Strong analytical and problem-solving skills.

·         Good command of English.
