The Project Administration Coordinator Officer is responsible for providing administrative, accounting, human resource, and general office support to ensure smooth and efficient project operations. This role coordinates project documentation, supports financial and HR administrative processes, and assists management by maintaining accurate records, timely reporting, and effective communication across project stakeholders.
Key Responsibilities& KPIs
1.Coordinate and support daily administrative activities for project operations
2.Prepare, maintain, and control project documentation, records, and reports
3.Support accounting tasks including invoice processing, expense tracking, cost control, and document verification
4.Coordinate with finance team on payments, budget updates, and financial reporting related to projects
5.Support HR administrative functions such as attendance records, payroll coordination, onboarding, and staff documentation
6.Assist in recruitment coordination, training records, and employee data management
7.Manage meeting arrangements, prepare minutes, and follow up on action items
8.Act as a key coordination point between project teams, finance, HR, vendors, and internal stakeholders
9.Ensure compliance with company policies, internal controls, and project procedures
10.Perform other duties as assigned by the Project Manager or Management
Educations Bachelor’s degree in Accounting, Human Resource Management, Business Administration, or a related field
1.1–3 years of experience in project administration, accounting support, HR administration, or office administration
2.Basic knowledge of accounting processes such as invoicing, expense tracking, cost control, and document filing
3.Understanding of HR administrative functions including payroll coordination, attendance records, and staff documentation
4.Experience in administrative support for projects, including reporting, coordination, and document control
5.Proficient in Microsoft Office (Excel, Word, PowerPoint); knowledge of ERP or accounting systems is an advantage
6.Strong organizational, coordination, and follow-up skills with high attention to detail
7.Strong analytical and problem-solving skills
8.Excellent coordination and communication skills for both internal and external stakeholders
9.Ability to handle confidential information with professionalism and discretion
10.Capable of managing multiple tasks and meeting deadlines in a project environment
11.Language: Fluent in Vietnamese and good command in English.
