The Sales Operations Executive is responsible for supporting the sales team through efficient order processing, sales coordination, reporting, customer support, and cross-functional communication. This role ensures smooth execution of sales operations, accurate data management, and timely coordination with internal departments and customers to achieve business objectives.
Order Processing & Coordination
- Ensure sales orders are entered into the SAP system accurately and on time, including product details, pricing, sticker information, and other related requirements.
- Coordinate with logistics and production teams to ensure on-time delivery for international customers.
- Monitor order progress and proactively update sales teams and customers regarding shipment/order status, delivery schedules, or issues.
- Ensure all order-related shipping documents (draft and original versions) are properly reviewed and sent to customers in a timely manner.
Sales Team & Customer Support
- Support customer relationship management through timely communication and follow-up.
- Assist the sales team in preparing presentations, product samples, and supporting materials for customer meetings and shipments.
- Conduct basic market research on competitors, potential customers, and new markets to support business development activities when required.
- Support preparation of sales reports, sales performance tracking, and data analysis.
- Arrange meeting rooms, prepare samples, coordinate transportation, and manage logistics for customer visits and meetings.
Cross-functional Collaboration
- Liaise with internal departments including production, logistics, and finance to ensure efficient order fulfillment and operational coordination.
- Work closely with the finance/accounting team to ensure invoices are processed accurately and customer payments are properly tracked.
- Support internal communication to resolve operational issues effectively and promptly.
Reporting & Analysis
- Prepare and analyze sales reports, KPIs, forecasts, and other business performance reports using Excel, SAP, Power BI, and related system tools.
- Analyze weekly and monthly sales performance to provide actionable insights.
Process Improvement & Strategy Support
- Recommend process improvements and operational enhancements to improve sales efficiency and customer satisfaction.
- Collaborate with sales managers on strategies to strengthen customer engagement and support sales growth.
Expense Management & Budget Control
- Manage and monitor departmental expenses including sampling costs, guest expenses, courier fees, and related operational costs.
- Track departmental spending and identify opportunities for cost optimization and resource efficiency.
- Ensure all expenses comply with company policies and approved budgets.
Other Duties
- Perform additional assignments and responsibilities as requested by the Line Manager.
