Project Meeting Management
- Schedule/organize necessary meetings, set up agendas, communicate meeting schedules, book meetings, and get attendance from required parties.
- Attend weekly meetings for the project.
- Assist in recording minutes of meetings, and get Senior approval before circulation to relevant parties.
Project Document Management
- Control and monitor documents to ensure a systematic order for easy retrieving and storing all information.
- Manage all team internal files and the document boxes kept out-of-office in order as needed.
- Support Senior in finding files/documents with the effectiveness of the time
- Perform other clerical duties such as filing, photocopying, collating, transmitting, etc.
- Be in charge of document scanning and letter/document filing.
- Keep records of project reports, necessary project files and documents, or any other relevant correspondences etc.
- Write or respond to emails, except for important emails which shall be approved by Senior before issuance.
Contractors/ Suppliers/ Clients Management
- Search for contractors/suppliers/products/services as and when required for assistance by the team members
- Update client/consultants/contractors/suppliers list and information up to date.
- Maintain confidentiality of all matters pertaining to client’s information
Translator
- Translating (English - Vietnamese and vice-versa) and typing documents when required
- Performing interpretation tasks as needed
Other Roles
- Perform as a backup for Office Admin if required
