HR Operations & Database Management (25%)
- HR System Administration: Input and manage employee data for the Ho Chi Minh office in the HR system; review and verify data accuracy for the Cai Mep site.
- Personnel Profiles & Files: Maintain, update, and archive both digital and physical employee files. Ensure all onboarding/offboarding documentation, contracts, annexes, and HR records are accurately filed.
- Contract & Probation Lifecycle: Track and monitor probation timelines and contract expiration dates. Ensure probation evaluation forms are distributed to and collected from department heads in a timely manner.
- Labor Contracts: Draft, prepare, and issue labor contracts, annexes, and renewals accurately and on schedule.
Time Attendance Management (20%)
- Manage, review, and reconcile monthly timesheets to ensure data integrity.
- Ensure all time attendance records comply strictly with company policies and local labor regulations.
Insurances (20%)
- Social Insurance Reporting: Handle monthly social insurance reports by accurately tracking updates (new joins, departures, and changes) and submitting them on time.
- Insurance Claims: Process employee insurance claims for sick leave, maternity leave, and recovery/convalescence leave and submit on time.
- Offboarding & Insurance Books: Complete and close out social insurance books for resigning employees, ensuring they are returned quickly and follow the laws.
PIT Support (10%)
- Tax & Dependents Registration: Register tax codes and dependents for employees; collect, verify, and archive all required tax documents.
- Annual Tax Finalization: Assist in the yearly PIT finalization process, handle related paperwork, issue tax receipts, and distribute annual income statements to staff.
Employees Profile (10%)
- Oversee employee database administration, handling the daily input and maintenance of personnel profiles and contract history.
- Coordinate with HR team members to collect, verify, and archive required onboarding and offboarding documentation for all staff.
Organizational Development (10%)
- Maintain, review, and update corporate and departmental organizational charts on a quarterly basis, or dynamically as structural changes occur.
Employee Relations & General HR Administration (5%)
- Support employee engagement activities and internal events (e.g., Year-End Party, CSR, Mid-Autumn festival).
- Assist in researching, sourcing, and partnering with third-party vendors to deliver company well-being programs.
- Execute additional ad-hoc HR projects and operational tasks as assigned by the Line Manager.
