This position will be responsible for coordinating training programs, managing administrative tasks, and ensuring smooth operations within the training strategy of OPS. This role requires strong organizational skills, attention to detail, and a passion for fostering professional development. The Administrative and Training Officer will play a pivotal role in supporting the training needs of our organization and contributing to the growth and success of our team members.
Duties and Responsibilities:
Training Support (only for DPO Staffing)
Training Coordination: Work with leaders/ line manager to plan. Handle logistics like scheduling and resources. Communicate with internal trainers and participants.
Training Material Development: Help create training materials. Work with experts to make engaging content. Review and improve content based on feedback.
Training Delivery: Lead training sessions when needed. Support internal trainers and monitor sessions to improve learning experience.
Administrative Support: Handle administrative tasks like record keeping and documentation. Work with HRBP for internal resources as requested by Line manager.
Reporting and Analysis: Track training effectiveness and feedback. Analyze data to improve training. Prepare reports for management.
Communication and Coordination: Be the contact point of OPS for training matters. Communicate updates and reminders. Work with teams to align training with the company goals.
Compliance and Quality Assurance: Ensure training meets policies and regulations, especially with the procedures which OPS pays leading role. Conduct internal audits together with QA team to maintain quality of training.
Administrative Support
Admin Support: Handle admin and office tasks (arrange meeting, order statationeries, claim tasks, follow action items of client visit and external audit), prepare documents as requested by line manager.
Reporting: Prepare period reports as requested by line manager, ensure their accuracy, and improve reporting systems.
Communication: Act as a contact point, communicate with team members within OPS and HR, and distribute memos/ meeting recaps.
Other tasks
Other tasks as assigned by the line manager.
Travel domestically as required.
