Main Task
- Order and manage all office supplies, consumable materials, tools and equipment of D&E Division
- Support other members of D&E Division for translation of general documentation, incoming documents if so required
- Arrange car for staff transportations for D&E Division when need by coordination with Company Administration department
- Attend and prepare Meeting minutes of D&E Division
- Prepare the petty cash payment of D&E Division
- Support other members of D&E Division for document photocopy, scanning, achieving, sending, receiving
- Receiving/sending/achieving/recording of incoming/ outgoing documents properly and promptly following Company regulation
- Update of Document Controlling status
Administration role: 40%
+ Order and manage all office supplies, consumable materials, tools and equipment of D&E Division;
+ Support other members of D&E Division for translation of general documentation, incoming/outgoing documents if so required;
+ Arrange car for staff transportations of D&E Division when need by coordination with Company Administration department;
+ Attend and prepare Meeting minutes of D&E Division if so required;
+ Prepare the petty cash payment of D&E Division if so required;
+ Other daily administration tasks assigned by line manager.
Document controlling role: 60%
+ Support other members of D&E Division for document photocopy, scanning, achieving, sending, receiving;
+ Receiving/sending/achieving/recording of incoming/ outgoing documents and all project’s documents properly and promptly following Company regulation;
+ Update and report of incoming/outgoing documents promptly;
+ Update and report of document achieving and recording;
- University Degree in Administration field.
- Over 5 years working at Administration and/or Document control roles in professional organizations/companies.
- Having experience work with Construction project/company is plus.
- Well organizing skills;
- Setting up and management of document controlling system;
- Good English skills (especially reading and writing skills).
- Proficient use of Microsoft Office software (especially Word, Excel. Power Point).
- Go easy with team members, assigned task;
- Hard working and keen on details;
- Supportive and contributive with positive attitude;
- Honest and responsible.
