The: Assistant Manager of Purchase Order (PO) Management is to support to oversees and direct the procurement process, focusing on the creation, tracking, and support to management of purchase orders.
This role requires a meticulous individual with a strong understanding of supply chain dynamics, vendor management, and procurement processes.
The Assistant Manager of PO Management supports leads a team responsible for ensuring accurate, timely, and efficient creation, documentation, and execution of purchase orders to meet the organization's operational and financial objectives.
Key Responsibilities:
• Assist with aspects of department as well as serving clients in Order Management with Ocean and/or Air shipping process from inception of purchase order, cargo consolidation and shipment process to final delivery.
• Purchase Order Process: Support to develop and implement standardized procedures for the creation, processing, and documentation of purchase orders. Ensure adherence to company policies, regulations, and compliance standards.
• Vendor Management: Support to coordinate with vendors to confirm purchase order details, negotiate terms, resolve discrepancies, and establish strong relationships to optimize procurement processes.
• System Maintenance: Support to oversee the maintenance and optimization of procurement systems (such as ERP software) to improve efficiency and accuracy in purchase order creation and management.
• Reporting and Analysis: Support to generate reports and analyze data related to purchase orders, monitoring key performance indicators (KPIs) to identify trends, potential issues, and opportunities for improvement.
• Collaboration: Support to collaborate with various departments such as finance, inventory, and operations to ensure seamless integration of purchase order management within the overall supply chain.
• Process Improvement: Support to continuously review and enhance procurement processes to streamline operations, reduce costs, and increase efficiency
Qualifications and Skills:
1. Bachelor’s degree in business administration, Supply Chain Management, or a related field.
2. Proven experience of 3 years of purchase order management. Leadership or managerial experience is preferred.
3. Proficiency in using ERP systems and other procurement software for purchase order creation and management.
4. Excellent analytical, organizational, and problem-solving skills.
5. GT Nexus (Infor Nexus) experience is an additional advantage.
6. Comfortable in working with MS Excel for building reports/analyzing data,
7. Experience in working in customer service,
8. Will require to work with multiple customers for managing shipments each week,
9. Versed with building container load planning,
10. Experience in handling export shipments, covering – carrier operations, warehouse operations, export customs processes, export documentation etc.,
