EXECUTIVE ASSISTANT TO CHAIRMAN – PRODUCTION DIVISION

1. Executive support at group level

• Closely monitor operations and production activities of member companies within the Group, especially production related business units (indoor/outdoor furniture, wood manufacturing, ....).
• Collect and regularly update production data (order progress, factory performance, defect rates, labor productivity, ...).
• Consolidate and analyze reports from departments such as Production, Engineering, Operations, and Procurement to support the Chairman’s decision-making process.

2. Project coordination & Strategic advisory

• Collaborate with Plant Directors/Heads of Production to monitor the production and business KPIs.
• Provide recommendations on process improvements and production optimization based on realtime data.
• Act as a liaison between key departments (Production, Purchasing, Quality, Logistics) to ensure seamless information and workflow.

3. Information management & Internal communication control

• Serve as the primary point of contact for receiving, categorizing, and managing critical operational information sent to the Chairman.
• Ensure that all reporting related to production, supply chain, and operational plans is clearly structured, timely, and accurate.

4. High level meeting support & Post meeting follow-up

• Participate in executive meetings regarding production and operations; take meeting minutes and follow up on key directives and deliverables.
• Act as a communication bridge between the Chairman and Production Directors to ensure consistent execution of directives.

5. Schedule management & Operational Support

• Manage the Chairman’s schedule related to production and operational activities: meetings with factories, suppliers, and project site visits.
• Prepare reports and materials for meetings involving factories and production related departments.

Yêu Cầu Công Việc

·       At least 5 years of experience in a senior executive assistant role or relevant positions involving production system management/control, or equivalent experience in manufacturing/trading businesses in the wood or furniture industry.

·       Prior experience working in a multi-sector manufacturing–trading group, especially in furniture, wood, or logistics, is highly preferred.

·       Solid understanding of manufacturing processes and supply chain operations within a factory environment.

·       Strong skills in analyzing and synthesizing production and operational data.

·       Ability to coordinate multi-departmental tasks and proactively support executive-level decision-making.

·       Proficient in English; Mandarin is a plus.

·       Proficient in Microsoft Office, Google Workspace, and work management tools such as Notion, Base, Trello, …
