I. Job Purpose
The Assistant to the Chairman provides direct support to the Chairman by managing daily operations, coordinating schedules, handling correspondence, preparing reports, and assisting in various strategic projects and key meetings. This role requires initiative, attention to detail, and the ability to work under pressure in a fast-paced environment.
II. Key Responsibilities
1. Managing the Chairman’s Schedule
o Organize and manage the Chairman’s calendar, appointments, and meetings.
o Arrange meetings, take minutes, and follow up on action items.
o Ensure the Chairman attends important meetings and events on time.
2. Handling Information and Documentation; Administrative Support
o Receive, prioritize, and process internal and external communications for the Chairman.
o Draft, proofread, and edit reports, memos, letters, and other official documents.
o Manage and maintain filing systems, ensuring all sensitive documents are properly stored and easily accessible.
o Perform daily administrative duties, including managing office supplies and maintaining office organization.
o Provide support to other departments when required.
3. Supporting Projects and External Relations
o Monitor the progress of ongoing projects and assist the Chairman in strategic decision-making.
o Coordinate with other departments to ensure tasks are completed on time and in accordance with the company’s objectives.
o Manage external relationships with clients, partners, investors, and other stakeholders.
4. Organizing Meetings and Events
o Plan and organize meetings, conferences, and corporate events on behalf of the Chairman.
o Prepare meeting agendas, materials, and presentations as needed.
o Provide logistical support for events, ensuring smooth execution and follow-up.
5. Assisting with Special Tasks
o Handle ad-hoc requests and special assignments from the Chairman with efficiency and discretion.
o Ensure that urgent matters are addressed promptly and appropriately.
6. Supporting Communication and Public Relations
o Assist in the preparation of speeches, press releases, and company announcements.
o Collaborate with the communications team to ensure accurate and timely distribution of information.
III. Job Requirements:
1. Education & Qualifications:
o Bachelor's degree or higher, preferably in Business Administration, Management, or a related field.
o Knowledge of office management, event organization, and business processes.
2. Experience:
o At least 3-5 years of experience in an executive assistant, personal assistant, or similar high-level support role.
o Experience working in a large corporation or group is a plus.
3. Skills:
o Excellent verbal and written communication skills.
o Strong organizational skills and the ability to manage multiple tasks simultaneously.
o Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
o Strong problem-solving skills and attention to detail.
o Ability to work independently and in a team-oriented environment.
4. Languages:
o Fluent in English, both written and spoken. Proficiency in other languages is a plus.
