Job description: The Operation Manager is responsible for overseeing the operational aspects of the marketing department to evaluate and enhance the efficiency of the team, ensuring that back-office efforts are aligned with the brand's overall timeline and growth objectives through process optimization, task management, and maintaining team culture. The Operation Manager acts as a key link between various departments within the marketing team, while also overseeing other aspects such as Human Resources and Community Relations (HR & CB).
The responsibilities and essential job functions include but are not limited to the following:
Marketing team management
• Lead, motivate, and support a large team in a time-sensitive and demanding environment, including developing career plans for direct reports and resolving issues as they arise.
• Align with the Head of Marketing (HOM) on daily, weekly, and monthly team tasks regarding workload, KPIs, and timeline commitments.
• Delegate and track tasks, including assigning PIC (person in charge), managing processes, and ensuring commitment adherence.
• Ensure the team’s schedule is well-organized and optimize it to maximize both efficiency and well-being for team members.
• Proactively identify and propose solutions to the HOM regarding any team difficulties, such as lack of headcount, equipment, training needs, workshops, or other elements to improve team operations.
• Identify and implement improvements to brand activities based on reports (in alignment with the team and HOM).
• Organize team training sessions, workshops, and development programs.
• Coordinate the onboarding process for new team members.
• Organize weekly update meetings with the HOM, including reports and discussions on team progress.
• Organize monthly team hangouts and market visits.Connect with other departments
• Build program & organize monthly brand's training sessions to Sales team & Operation team
• Organize monthly WIP updates with managing team including (not limited to): Managing director, Outlet Operation Director, Sales Directors,...
• Build agenda and organize channels to collect insight & feedback from Sales team & operation team
• Analyze & produce key findings report to share with team & HOM to enhance current & future brand's activities
• Manage team’s budget & purchasing activities
• Manage team's paperwork process and optimize where needed
Human Resources & Corporate Branding (CB)
• Work with HR Department & COO to construct & deploy planning for Talent Acquisition, C&B, Training consists of (but not limited to):
o Talent Acquisition: Identify Hiring needs & working with Headhunt, Agencies for Acquiring talents, Sorting profiles & arranging interviews with relevant managers
o Arrange Onboarding Program for newcomers
o Training programs deployed by groups for Hanoi office staffs
o Announce group C&B programs and ensure its deployment within Hanoi office
o Monthly, Quarterly & Annual Evaluation of staffs performances & reports
• Support planning & deploy internal engagement activities such as Year end Party, Townhall, Office Engagement Parties, ...
• Work with CB Department to deploy planning for Group relevant to all departments
• Conduct regular interviews, sit-downs with managing directors and head of department to evaluate IC activities & produce reports.

• You'll be busy working to tight deadlines and juggling multiple projects. This high-pressure environment can be stressful at times.
• The role is office based but you will be expected to network and socialize regularly with clients and attend a range of industry events and exhibitions.

Requirements
- Bachelor's Degree in Sales/Marketing/Business Administration or its equivalent.
- Two or more years of proven success in an operations management role
- Strong skills in budget development and oversight
- Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service
- Proficiency in conflict management and business negotiation processes
- Knowledge of business productivity software and an aptitude for learning new applications
- Proven track record as managing brand.
- Strong network of connections is an asset
- Self-motivated, eye for detail and resourceful
- Strong project management skills
- Excellent communication skills. Able to think and write strategically
- Youthful and energetic and people-minded individuals with a can-do attitude.
