CHUYÊN VIÊN HỖ TRỢ KINH DOANH QUỐC TẾ B2B

CÔNG VIỆC HẰNG NGÀY CỦA BẠN:

• Quản lý Đơn hàng và Hợp đồng:
  • Tiếp nhận, kiểm tra và xử lý đơn đặt hàng từ khách hàng quốc tế và đội ngũ sales.
  • Soạn thảo, kiểm tra và quản lý hợp đồng mua bán (Sales Contract/Purchase Order) theo mẫu và yêu cầu của công ty, đảm bảo tính chính xác về thông tin sản phẩm (loại nhựa tái chế, mã hàng, chất lượng, số lượng),giá cả, điều khoản thanh toán (TT, LC,...), điều kiện giao hàng (Incoterms), lịch trình giao hàng.
  • Phối hợp chặt chẽ với bộ phận Thu Mua / Logistics để xác nhận khả năng cung ứng hàng hóa và lịch giao hàng dự kiến.
  • Theo dõi tiến độ thực hiện đơn hàng từ lúc xác nhận đến khi giao hàng thành công.
• Quản lý Chứng từ Xuất Nhập khẩu:
  • Chuẩn bị bộ chứng từ xuất khẩu/nhập khẩu cần thiết theo yêu cầu của hợp đồng và quy định của nước xuất/nhập khẩu (Invoice, Packing List, Bill of Lading, Certificate of Origin, Certificate of Analysis/Quality, Fumigation Certificate, Insurance Certificate,...).
  • Phối hợp với các bộ phận liên quan để hoàn thiện bộ chứng từ.
  • Kiểm tra tính hợp lệ và chính xác của các chứng từ nhận được từ nhà cung cấp hoặc gửi cho khách hàng.
  • Lưu trữ và quản lý hồ sơ, chứng từ liên quan đến lô hàng một cách khoa học, dễ dàng tra cứu.
• Hỗ trợ Khách hàng và Đội ngũ Sales:
  • Là đầu mối tiếp nhận và phản hồi các yêu cầu, thắc mắc của khách hàng quốc tế (qua email, điện thoại) về sản phẩm, đơn hàng, lịch giao hàng, chứng từ.
  • Hỗ trợ đội ngũ sales trong việc chuẩn bị và gởi báo giá, tài liệu giới thiệu sản phẩm (catalogues, specifications), gửi mẫu nhựa tái chế cho khách hàng.
  • Cập nhật thông tin khách hàng, thông tin đơn hàng lên hệ thống quản lý theo dõi đơn hàng của công ty.
  • Thông báo kịp thời cho đội ngũ sales và khách hàng về tình trạng đơn hàng, các vấn đề phát sinh (nếu có) và đề xuất giải pháp xử lý.
• Phối hợp Nội bộ và Báo cáo:
  • Phối hợp chặt chẽ với các bộ phận khác như Logistics, Kế toán, Thu Mua để đảm bảo luồng thông tin thông suốt và xử lý công việc hiệu quả.
  • Theo dõi công nợ khách hàng cùng bộ phận kế toán, nhắc nhở khách hàng thanh toán đúng hạn.
  • Lập các báo cáo định kỳ (tuần/tháng/quý) hoặc đột xuất về tình hình đơn hàng, doanh số, công nợ,... theo yêu cầu của Trưởng phòng Kinh doanh.
• Công việc Hành chính khác:
  • Soạn thảo công văn, email giao dịch với khách hàng, đối tác bằng tiếng Việt và tiếng Anh.
  • Hỗ trợ sắp xếp lịch họp, chuẩn bị tài liệu cho các cuộc họp của bộ phận kinh doanh.
  • Thực hiện các công việc hành chính khác được giao bởi Trưởng phòng Kinh doanh.

INTERNATIONAL B2B SALES ASSISTANT

YOUR DAY-TO-DAY:

• Order and Contract Management:

  • Receive, verify, and process purchase orders from international clients and the sales team.
  • Draft, review, and manage sales contracts/purchase orders based on company templates and requirements, ensuring accuracy of product details (type of recycled plastic, item code, quality, quantity), pricing, payment terms (e.g., TT, LC), delivery conditions (Incoterms), and delivery schedules.
  • Coordinate closely with the Procurement and/or Logistics departments to confirm product availability and estimated delivery schedules.
  • Monitor order progress from confirmation through to successful delivery.

• Import/Export Documentation Management:

  • Prepare required sets of export/import documents as per contractual requirements and regulations of the exporting/importing countries (e.g., Invoice, Packing List, Bill of Lading, Certificate of Origin, Certificate of Analysis/Quality, Fumigation Certificate, Insurance Certificate).
  • Collaborate with relevant departments to finalize documentation sets.
  • Verify the validity and accuracy of documents received from suppliers or issued to clients.
  • Maintain and manage shipment-related records and documents systematically for easy retrieval.

• Customer and Sales Team Support:

  • Serve as the primary point of contact for receiving and responding to international client inquiries (via email, phone) regarding products, orders, delivery schedules, and documentation.
  • Assist the sales team in preparing and sending quotations, product information materials (catalogues, specifications), and dispatching recycled plastic samples to clients.
  • Update client and order information in the company's order tracking system.
  • Promptly inform the sales team and clients about order statuses, any arising issues, and propose solutions.

• Internal Coordination and Reporting:

  • Coordinate closely with other departments (Logistics, Accounting, Procurement) to ensure smooth information flow and efficient task execution.
  • Collaborate with the Accounting department to monitor client accounts receivable and issue payment reminders.
  • Prepare periodic (weekly/monthly/quarterly) and ad-hoc reports on order status, sales figures, accounts receivable, etc., as required by the Head of Sales.

• Other Administrative Tasks:

  • Draft official correspondence and emails for transactions with clients and partners in both Vietnamese and English.
  • Assist in scheduling meetings and preparing materials for sales department meetings.
  • Perform other administrative tasks as assigned by the Head of Sales.

Job Requirement

• Học vấn: Tốt nghiệp Cao đẳng/Đại học trở lên, ưu tiên các chuyên ngành Quản trị Kinh doanh, Kinh tế, Ngoại thương, Tiếng Anh Thương mại, Logistics hoặc các ngành liên quan.
• Kinh nghiệm:
  • Có ít nhất 1-3 năm kinh nghiệm ở vị trí tương đương (Sales Admin, Sales Support, Customer Service, Admin Xuất nhập khẩu) trong môi trường quốc tế.
  • Ưu tiên ứng viên có kinh nghiệm trong ngành thương mại, xuất nhập khẩu, logistics, hoặc đặc biệt là ngành nhựa/nhựa tái chế.
• Kỹ năng:
  • Ngoại ngữ: Tiếng Anh thành thạo (trình độ B trở lên).
  • Tin học: Sử dụng thành thạo bộ MS Office (Word, Excel, PowerPoint, Outlook).
  • Kỹ năng mềm:
    • Tổ chức công việc khoa học, quản lý thời gian hiệu quả.
    • Cẩn thận, tỉ mỉ, chú trọng chi tiết.
    • Kỹ năng giao tiếp tốt, tinh thần hỗ trợ đội nhóm cao.
    • Chủ động, có khả năng xử lý nhiều công việc cùng lúc.
    • Hiểu biết cơ bản về Incoterms, các phương thức thanh toán quốc tế (TT/LC) là một lợi thế.
• Thái độ: Trung thực, trách nhiệm, cầu tiến, mong muốn gắn bó lâu dài.

WE WANT TO HEAR FROM YOU IF YOU HAVE:

• Education: College/University degree or higher, priority given to majors in Business Administration, Economics, Foreign Trade, Business English, Logistics or related fields.
• Experience:
  • At least 1-3 years of experience in a similar position (Sales Admin, Sales Support, Customer Service, Import-Export Admin) in an international environment.
  • Priority given to candidates with experience in the trade, import-export, logistics, or especially the plastic/recycled plastic industry.
• Skills:
  • Foreign language: Proficient in English (level B or higher).
  • Information technology: Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Soft skills:
    • Organize work scientifically, manage time effectively.
    • Careful, meticulous, pay attention to details.
    • Good communication skills, high team support spirit.
    • Proactive, able to handle multiple tasks at the same time.
    • Basic understanding of Incoterms, international payment methods (TT/LC) is an advantage.
  • Attitude: Honest, responsible, progressive, desire for long-term commitment.
