Assistant to President

Job Description

The duties and responsibilities of the Assistant President include, but are not limited to:

• Preparation of Presidential Board meetings, drafting of minutes, filing, and informing staff about minutes;
• Responsible for the President's correspondence and filling out of documents. Maintaining of relevant addresses and communication data;
• Scheduling, travel planning and preparation of business travels of the President;
• Assistance in the official reporting of VGU to both internal committees and external stakeholders, especially to the Vietnamese and German governmental organs;
• Responsible for Presidential Board – Process management;
• Translation document from Vietnamese into English and vice versa;
• Support the President, other Presidential Board (PB) members, the Presidential Board Office in their current business, organizing of meetings, keeping minutes, tracing of decisions;
• Support in organization of VGU's official events and celebrations, in preparation and organization of visits from foreign and Vietnamese delegation to VGU;
• Assist in planning and preparing workshops and internal/external meetings, keep minutes, support tracing of decisions;
• Accompany the President on business trips in Vietnam, translating during official appointments.

Job Requirement

1. Qualification: Bachelor in business administration, economics, social sciences, humane sciences or related fields.

2. Experiences: 

• Working experiences in a similar administrative position or in the higher education environment.

3. Knowledge:

• Knowledge and skills in the higher education administration.

4. Skills

• Fluent in both oral and written English, fluently use English in discussions/meetings and prepare English report;
• Knowing German is an advantage;
• Excellent in Microsoft Officeoffice software (Word, Excel, PPT,…);
• Excellent written and presentation skills;
• Experience of public speaking;
• Excellent interpersonal and communication skills and ability to work collaboratively;
• Ability to work on own initiative and to deadlines;
• Ability to work as part of a team;
• Ability to present in formation to groups as well as individuals;
• Strong interpersonal and problem  resolution skills;
• Strong managerial abilities;
• Excellent organisational skills.
